Position Overview The Accounts Payable Coordinator is responsible for managing the full cycle of accounts payable functions, ensuring timely and accurate processing of vendor invoices, expense reports, and payments. This role requires excellent attention to detail, organizational skills, and the ability to maintain strong vendor relationships while supporting the finance team with administrative and accounting tasks. Key Responsibilities Receive, review, and verify all vendor invoices for accuracy and appropriate approvals. Match invoices with purchase orders and receiving documentation. Enter invoices into the accounting system (e.g., QuickBooks, NetSuite, or other ERP). Process weekly check runs, ACH payments, and wire transfers. Reconcile vendor statements and resolve discrepancies in a timely manner. Maintain accurate and up-to-date vendor records. Communicate with internal departments and external vendors regarding billing issues. Assist in month-end closing by preparing AP reports and ensuring all payables are recorded. File and maintain documentation in accordance with company policies and accounting practices. Support annual audits by providing requested documentation and schedules. Contribute to process improvement initiatives within the accounting department. Qualifications Associate's degree in Accounting, Finance, or related field (Bachelor's degree preferred). Minimum 2 years of experience in an accounts payable or accounting support role. Proficiency in Microsoft Office Suite, especially Excel. Experience with accounting software; ERP system experience preferred. Strong attention to detail, accuracy, and organizational skills. Excellent written and verbal communication abilities. Ability to prioritize tasks and meet deadlines in a fast-paced environment. High level of integrity and professionalism when handling confidential information. Preferred Skills Experience working in a printing, manufacturing, or production-driven environment. Familiarity with inventory and purchase order systems.
