Job Description

Position Overview We are seeking a meticulous and organized Bookkeeper / Business Coordinator to join our dynamic team. The ideal candidate will be responsible for managing invoicing, billing, product order processing, and a variety of financial and administrative tasks. This role requires proficiency in QuickBooks, strong attention to detail, and the ability to manage multiple tasks efficiently. Key Responsibilities Invoicing /
Billing:
Manage all aspects of invoicing and billing processes.
Product Order Processing:
Oversee product orders, ensuring accurate and timely processing.
Reporting & Manual Tracking Reports:
Generate and maintain financial and ongoing service contract reports.
Payments Received:
Handle all payment-related activities, including bank depositing, check recording, cost calculations, and commission calculations.
Payroll:
Process payroll for hourly employees and calculate commissions.
Bill Management:
Enter and manage bills within QuickBooks.
PSA System Management:
Utilize the PSA system to enter and track contracts, renewals, and translate sales orders into service projects.
Work Order Management:
Create, submit, and track work orders for billing purposes.
Client Information Management:
Manage new client setups in PSA and CRM systems, ensuring accurate financial data and documentation.
Financial Document Storage:
Organize and manage financial document storage.
Device Ordering & Shipping Management:
Manage device ordering and shipping for clients as needed.
General Office Supplies Ordering:
Order general office supplies as required.
Financial Bookkeeping:
Maintain accurate financial records and bookkeeping.
Hour Tracking & Verification:
Verify hourly employees' hours and enter data into the HR system.
Commission Tracking:
Track commissions for order payments. Education and Experience Requirements High school diploma or equivalent; Associate or Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred. Proven experience as a bookkeeper or in a similar financial role.
Technical Skills:
Proficiency in QuickBooks and other accounting software. Experience with PSA systems and CRM software. Strong Microsoft Office skills, particularly in Excel.
Skills & Abilities:
Excellent attention to detail and accuracy. Strong organizational and multitasking abilities. Ability to work independently and as part of a team. Good communication skills, both written and verbal. Problem-solving skills and the ability to handle multiple tasks under tight deadlines.
Other Requirements:
Ability to manage financial document storage and retrieval. Strong understanding of payroll processes and commission calculations. Capability to manage product ordering and shipping logistics.

$45,000.00 - $50,000.00 per year
