Overtime status: Compliant with position, salary and FLSA regulations Job purpose: In keeping the tradition of excellence, the purpose of the Administrative Assistant/Bookkeeper is to complete the detail and written work and to coordinate other matters essential to the efficiency and effectiveness of the administrative supervisor, including assisting in the payroll and accounts payable process and other accounting functions as needed. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Duties and responsibilities:
Perform various filing duties
Assist in the monthly preparation of payroll
Enter data into accounting system relating to payroll
Assume additional payroll responsibilities as required
Assist in any additional accounting duties as needed
Take and transcribe dictation of various types, including correspondence, reports, notices, and recommendations
Obtain, gather, and organize pertinent data as needed and put into usable form
Maintain a regular filing system, as well as a set of locked confidential files
Process incoming correspondence
Place and receive telephone calls and records messages
Order and maintain supplies
Perform bookkeeping tasks associated with the specific position
Maintain a schedule of appointments
Make arrangements for conferences and interviews
Welcome visitors and arrange for their comfort
Screens unexpected callers in accordance with predetermined policy
Operate word processors, computers, copiers and facsimile machines
Handle budget allocations and expenditures for the department they are assigned
Maintain all requisitions, purchase orders and payments
Check and process requests for travel, registration costs, etc.
Lead and attend staff meetings/trainings as applicable; serve on staff committees
Assume responsibility for own professional growth and development, for keeping current with literature, new research findings, for attending appropriate professional meetings and conferences, and to maintain any credits and/or continued education for maintenance of licensure/qualifications required for the position
Maintain and accept responsibility for any district owned fixed asset item assigned to employee and ensure appropriate use by following district policies for acceptable use
Undergo periodic evaluations according to state and board policy procedures
Maintain confidentiality
Regular, dependable attendance is an essential function of this position
Perform such other and not specifically enumerated duties as may be requested by the Board of Education, superintendent, administrator, director or established by district policy
