PRIMARY PURPOSE:
The scope of his/her responsibilities is to support the Federal Program Department by managing grant accounts, preparing budgets, posting journal entries, and performing detailed reconciliations and financial reporting to ensure compliance with federal, state, and local guidelines.
QUALIFICATIONS
High School Graduate or GED and business school Ability to type 45 words per minute (60 or more words per minute is preferred) Ability to handle delegated administrative details Ability to meet the public in a pleasant, composed cordial manner, and to speak clearly and effectively Ability to establish and maintain effective working relations with all district employees as well as the general public Competent in Mathematics Experience with personal computers Proficient in Microsoft Excel (including formulas, pivot tables, and data analysis tools) Cooperative and dependable College hours in accounting (preferred) Familiarity with data visualization tools such as Tableau or Power BI (preferred)
MAJOR RESPONSIBILITIES AND DUTIES
  • Mange federal program accounts and grants for the department.
  • Keeps informed on local and state laws, rules and regulations, explains applicable regulations and policies to appropriate persons.
  • Assist in maintaining an accurate accounting records and supporting documentation for audits.
  • Assist with monthly financial reporting and variance analysis
  • Perform detailed reconciliations for grants, payroll, and departmental accounts.
  • Assist in posting all journal entries for Federal Programs department.
  • Track expenditures and analyze spending against budget allocations.
  • Assist with preparation of budget documents and financial reports for federal and state funds.
  • Be able to communicate with staff regarding deficiencies in their purchase orders or payment authorizations.
  • Ensure compliance with federal, state and local funding guidelines.
  • Collaborate on data systems and internal tools.
  • Maintain internal controls and confidentiality of financial data in an efficient manner.
  • Maintain and update the Staff Study for federally and state-funded employees to ensure accurate documentation of funding sources and position allocations.
  • Keeps up with payroll on a daily basis for personnel as needed.
  • Type purchase orders, receives and check out materials.
  • Performs all duties in a safe manner to avoid injury to oneself and/or to others.
  • Performs other related duties as assigned.
