In some circumstances, will relieve the department Administrator of routine administrative type detail work. Will also include other duties as assigned by the department Administrator or the Superintendent.
QUALIFICATIONS
High School Diploma or equivalent Demonstrated ability to use various computer software in the Windows environment (Microsoft Office), basic knowledge of accounting practices and procedures; excellent analytical skills. Ability to deal effectively with the public and staff Prior employment in responsible accounts payable/bookkeeper position. Experience in public education preferred. Required criminal history background check Proof of U.S. citizenship or legal resident alien status Pursuant to New Jersey First Act, proof of residency in NJ or intention to reside in NJ pursuant to the Act Possession of a valid State issued driver's license and safe driving recordPERFORMANCE RESPONSIBILITIES
Primary function is business service function of accounts payable in accordance with Standard Operating Procedures for that function (attached). Reviews and analyzes accounts for accuracy. Processes, tracks and maintains all accounts payable reports, spreadsheets and voucher packets. Reviews all invoices for appropriate documentation, State compliance and approval prior to payment. Prepares vouchers for payment and prepares bills list for Board of Education approval. Prints checks. Reviews and manages open purchases orders on a monthly basis. Processes bank deposits as required. Prepare analysis of accounting as required. Completes special projects as assigned. Performs general secretarial and clerical duties as may be required. Provides required documents and/or reports to the Assistant to the Business Administrator for monthly reconciliation of accounts. Enters new vendors and maintains existing vendor files. Maintains required vendor documents including W-9, Business Registration Certificates and Affirmative Action documents as required. Prepares annual 1099s for vendors. Provides required documents and/or reports to the Business Administrator for annual audit. Responsible to review documentation provided for residency and prepare permission slips for new students attending Boonton High School. Responsible for issuing student working papers and submission of such documents to the State of New Jersey. Acts as Business Office receptionist. Supports and coordinates with all District departments/locations through positive communication skills, providing information, software assistance and clerical support when required. Exhibits a high level of human relations skills. Maintains confidentiality. Annually reviews files for storage and/or destruction in accordance with NJ State Regulations for Records Retention. Any other requests as assigned by the Business Administrator and/or Superintendent.Pay:
