Global Ministries Reports to:Director of Global Ministries Supervises:
None Overview The Global Ministries Administrative Assistant supports the day-to-day administrative and financial operations of the Global Ministries department. This role is responsible for overseeing the receivables of Global Ministries operations. This includes accurate financial record keeping, donation processing workflows, bookkeeping support, reconciliations, database management, reporting, and administrative processes that strengthen stewardship, compliance, and organizational effectiveness. This position serves as the primary administrative backbone for Global Ministries and works closely with the Director of Global Ministries, Finance Office, and related ministry staff to ensure smooth, reliable daily operations. Key Responsibilities Financial Administration and Bookkeeping Support Oversee day-to-day bookkeeping and financial administrative tasks related to Global Ministries. Assist with reconciliations, financial tracking, coding, and record accuracy in coordination with the Finance Office. Support the processing and documentation of gifts, transfers, designated funds, ministry support Records, and related financial workflows. Help ensure that financial records are timely, accurate, and organized. Donation, Recordkeeping, and Database Management Maintain accurate champion, missionary, project, and giving records in the appropriate systems. Manage database entry, updates, reporting fields, and record integrity for Global Ministries operations. Support gift acknowledgment workflows, tax receipt coordination, and related champion service Administration in partnership with Finance department . Prepare reports and summaries related to giving, projects, communication lists, and ministry Administrative Operations Provide administrative support for departmental correspondence, forms, filing systems, calendars, and Office processes Prepare documents, reports, and materials needed for leadership meetings, board reporting, missionary support, and ministry administration. Assist with mailings, lists, workflows, forms, and process follow-through for Global Ministries. Help improve systems, procedures, and administrative efficiency for accounts receivables. Coordination and Compliance Support Work closely with the Director of Global Ministries, Finance Office, and Mobilization Manager to ensure unified and compliant administrative processes. Support administrative workflows, records management, and event logistics related to mobilization activities as needed. Help maintain accurate records, documentation, and operational support for candidate communication, engagement processes, and ministry events. Support stewardship, confidentiality, and appropriate handling of financial and personal information. Flag discrepancies, missing information, or process issues in a timely and professional manner. Event and Operational Support Provide administrative and logistical support for ministry events, missionary transitions, and champion communications where financial or record-related processes are involved. Assist with registration lists, materials, records, follow-up documentation, and operational details tied to Global Ministries events. Support the wider team behind the scenes so relational and ministry-facing roles can function effectively. Qualifications A mature and growing relationship with Jesus Christ and alignment with Liebenzell USA's mission and statement of faith. Strong administrative ability with high attention to detail and accuracy. Experience in bookkeeping, financial administration, donor database management, nonprofit operations, or similar work preferred. Comfort working with spreadsheets, databases, financial reports, and office systems. Strong organizational, time-management, and problem-solving skills. Ability to handle confidential information with discretion and integrity.Core Competencies Accuracy:
