Bookkeeper(year round Landscaping Company)
Summary:
The Bookkeeper is responsible for managing and maintaining the financial transactions related to accounts payable and accounts receivable for the landscaping company. This includes processing invoices, reconciling vendor statements, managing collections, and ensuring timely and accurate payment and receipt of funds. The ideal candidate will have experience in accounting, financial management, and excellent organizational and communication skills.
Responsibilities:
Accounts Payable:
Review, verify, and process invoices from vendors for payment, ensuring accuracy and compliance with company policies and procedures. Resolve invoice discrepancies and issues with vendors, and respond to inquiries in a timely and professional manner. Prepare and process payment batches, including checks, electronic transfers, and ACH payments, and maintain accurate records of all transactions. Reconcile vendor statements and follow up on outstanding invoices, as needed. Coordinate and manage the annual 1099 reporting process.
Accounts Receivable:
Generate and send customer invoices, ensuring accuracy and compliance with contractual terms and conditions. Record and apply customer payments accurately and in a timely manner. Monitor and manage customer accounts to ensure timely collection of payments, and follow up on overdue invoices. Research and resolve customer payment discrepancies and inquiries, and provide excellent customer service. Prepare and analyze monthly accounts receivable reports, and provide updates to management.
General Accounting:
Assist with month-end and year-end close processes, including preparing journal entries, reconciling accounts, and providing support for financial audits. Maintain accurate and organized financial records, including electronic and hard copy filing systems. Assist with the preparation of financial reports and analysis, as needed. Collaborate with other departments and team members to ensure smooth financial operations and processes. Stay updated with changes in accounting regulations and best practices, and make recommendations for process improvements.
Qualifications:
Minimum of 1 years of experience in accounts payable and accounts receivable, preferably in a landscaping or construction industry. Proficient in accounting software (such as QuickBooks or similar) and MS Office Suite (Excel, Word, Outlook). Excellent attention to detail, accuracy, and ability to work with numbers. Strong organizational and time management skills, with the ability to multitask and meet deadlines. Excellent communication and interpersonal skills, with the ability to work effectively with vendors, customers, and team members. Ability to work independently and as part of a team, with a positive and proactive attitude. Knowledge of 1099 reporting and tax regulations related to accounts payable and accounts receivable. Ability to maintain confidentiality and handle sensitive financial information with integrity. The Bookkeeper plays a critical role in ensuring the smooth operation of the financial processes for the landscaping company. The ideal candidate will have a keen eye for detail, strong analytical skills, excellent communication and customer service skills, and a solid understanding of accounting principles.
