Role:
Hoagland, Longo, Moran, Dunst & Doukas, LLP is seeking a detail-oriented Accounts Payable Specialist to join our Accounting team on a 3-month contract basis . This role is responsible for supporting the firm's day-to-day accounts payable operations by processing vendor invoices, managing corporate card expenses through Ramp, maintaining accurate financial records, and ensuring timely payments. The ideal candidate has prior accounts payable experience, excellent organizational skills, and the ability to manage multiple priorities in a fast-paced professional services environment. Experience with Ramp and accounting software is strongly preferred.
Accounts Payable Specialist Key Responsibilities:
Process high-volume vendor invoices accurately and efficiently. Review invoices for accuracy, coding, approvals, and supporting documentation. Enter invoices into the firm's accounting system and ensure timely payment processing. Prepare and process check runs, ACH payments, and wire transfers. Manage the firm's RAMP expense management platform, including reviewing employee expense reports, reconciling corporate card transactions, collecting receipts, ensuring proper GL coding, and routing expenses for approval. Monitor outstanding RAMP transactions to ensure timely reconciliation and compliance with firm expense policies. Resolve discrepancies related to employee expenses, corporate card transactions, and vendor invoices. Reconcile vendor statements and investigate invoice discrepancies. Respond to vendor and employee inquiries regarding payment status and expense submissions. Maintain vendor records, including W-9s and payment information. Assist with month-end close activities, including accounts payable reconciliations, RAMP reconciliations, and reporting. Ensure compliance with firm policies, internal accounting controls, and expense reimbursement procedures. Maintain organized electronic and physical accounting records. Collaborate with attorneys, administrative staff, and vendors to resolve payment-related matters. Perform other accounting and administrative duties as assigned.
Accounts Payable Specialist Qualifications:
2+ years of accounts payable experience required. Experience using RAMP or a comparable expense management platform. Experience in a law firm or professional services environment preferred. Associate's or Bachelor's degree in Accounting, Finance, Business, or a related field preferred. Proficiency with Microsoft Office, particularly Excel. Experience with accounting or ERP software. Strong attention to detail and accuracy. Excellent organizational, time management, and problem-solving skills. Ability to maintain confidentiality and exercise discretion with financial information.
