Job Description

Sussex County Community College is looking for a part time Accounts Payable Coordinator. Reporting to the Director of Finance the Accounts Payable Coordinator is responsible for the accurate and timely processing of vendor invoices and payments in accordance with New Jersey public procurement laws, College policies, and generally accepted accounting principles (GAAP). This position serves as a key internal control point within the Finance Office, ensuring compliance, proper documentation, and audit readiness while providing high-quality service to campus departments and external vendors.
Key Responsibilites:
Process vendor invoices for goods and services in accordance with SCCC purchasing policies, NJ public procurement requirements, and internal controls. Verify invoice accuracy, pricing, approvals, and proper account coding prior to payment. Match invoices to purchase orders, contracts, and receiving documentation. Prepare and process weekly/bi-weekly check and ACH payment batches. Maintain vendor records, including W-9 documentation and ACH enrollment forms. Assist with 1099 reporting preparation and reconciliation. Resolve invoice discrepancies and communicate with departments and vendors to obtain proper documentation. Maintain organized electronic and physical accounts payable records in compliance with audit standards. Assist with month-end and year-end closing activities related to accounts payable. Ensure compliance with segregation of duties and internal control requirements. Provide customer service support to campus departments regarding payment status and procedures. Support internal and external audits by providing documentation and responding to auditor inquiries. Perform other related duties as assigned.
Required Qualifications:
High school diploma or equivalent required; Associate's degree in Accounting, Business, or related field preferred. Minimum of 2 years of accounts payable experience, preferably in a public sector or higher education environment. Knowledge of GAAP and public procurement procedures. Strong attention to detail and accuracy. Proficiency in Microsoft Excel and Word. Ability to manage multiple priorities and meet deadlines.
Preferred Qualifications:
Experience working in a NJ community college or other public sector entity. Familiarity with ERP systems such as Jenzabar .
