About the Opportunity We are seeking a highly organized, dependable, and proactive Bookkeeper to work directly alongside the owner and operator of multiple local businesses based in the Charlotte Beach area of Rochester, New York. This is not a typical administrative position. You will serve as the right hand to a busy entrepreneur, helping manage the day-to-day operations, finances, communications, and organizational needs of several active businesses. Every day is different, and the role requires someone who can adapt quickly, prioritize effectively, and stay organized while handling multiple projects simultaneously. You will be exposed to real-world business management, financial operations, customer relations, marketing initiatives, problem-solving, and strategic decision-making.   • Manage calendars, appointments, and scheduling
  • Monitor and respond to emails and communications
  • Assist with project coordination and follow-up
  • Organize digital files, records, and business documents
  • Coordinate vendors, contractors, and service providers
  • Research projects and gather information as needed
  • Assist with customer communications and business operations
  • Handle a variety of administrative and special projects Bookkeeping & Financial Administration
  • Record and categorize business transactions
  • Manage accounts payable and receivable
  • Prepare and track invoices
  • Reconcile bank and credit card accounts
  • Maintain accurate financial records
  • Assist with payroll and expense tracking
  • Prepare reports and documentation for accountants and tax professionals Preferred Qualifications
  • Previous experience as an executive assistant, office manager, administrator, or bookkeeper
  • Experience with QuickBooks Online or similar accounting software
  • Strong proficiency with Microsoft Office and/or Google Workspace
  • Excellent written and verbal communication skills
  • Ability to maintain confidentiality and professionalism
