As we scale, our back office needs to scale with us — and the person in this seat will play a big part in making that happen. The Role We're looking for an experienced, trusted Full Charge Bookkeeper to become the center point of our financial operations. Two responsibilities sit at the heart of this role: Project reconciliation and P&L reviews with project managers. You'll reconcile every project's budget and actuals, then sit down with each PM after close to walk through P&L performance, surface variances, and make sure jobs are fully captured and cleanly closed. Credit card reconciliation and expense discipline across the team. You'll own monthly reconciliation of our Chase corporate card and our Brex employee cards, and lead the process of getting receipts and expense submissions in within 30 days — which means being comfortable diplomatically but firmly chasing teammates to stay on top of their submissions. You'll also handle operational coordination with our CPA firm for monthly close and bank reconciliation— and you'll help us continue building a modern finance function that catches errors at the source, and keeps our books audit-ready. This is a mid-level role for a seasoned bookkeeper. It is not an entry-level or accounting-clerk position. Hours & Growth This role starts at an anticipated 20 hours per week, with hours expected to increase as the business continues to grow rapidly. For the right person, there's real upside here as Inkling scales — including the chance to shape how a fast-growing creative agency runs its financial operations from the ground up.
What You'll Own Project Reconciliation & PM P&L Reviews:
Reconcile every project's budget and actuals; meet with each project manager after close to walk through P&L performance, surface variances, and confirm clean closeout.
Credit Card Reconciliation:
Reconcile Chase corporate and Brex employee cards monthly; own the team-wide receipt and expense submission process and keep everything within 30 days.
Expense & Receipt Operations:
Run the workflow that gets receipts and coded expenses into the books — leaning on smart tools and automation to minimize manual entry, and following up directly with team members on anything missing.
Bank Reconciliations:
Reconcile all bank accounts monthly with 100% accuracy.
Monthly Close & Reporting:
Assist in the preliminary close process, ensuring QuickBooks Online is in order, and deliver monthly P&L and Balance Sheet reports for leadership review.
CPA Coordination:
Prepare all necessary documentation and reports for our external CPA firm. The CPA will continue to handle the monthly and quarterly final closeout processes, as well as tax planning, payroll, and year-end audits.
Systems & Automation:
Help evolve our finance stack — leveraging AI, automations, and integrations to streamline workflows, reduce manual entry, and proactively catch errors. Who You Are The ideal candidate will meet most of these requirements: 2-4+ years of professional bookkeeping experience, with Full Charge experience strongly preferred — you've independently owned reconciliations, expenses, and monthly close, not just one slice of it Current, hands-on proficiency with QuickBooks Online (required) Direct experience with project accounting or job-costing — reconciling project budgets, allocating costs accurately, and walking stakeholders through project P&Ls Comfortable being the diplomatic-but-firm point person who follows up with teammates to get receipts, expenses, and documentation in on time Discreet and trustworthy; Comfortable owning confidential financial information as the sole non-leadership team member with QuickBooks access Comfortable preparing monthly P&L and Balance Sheet reports for leadership Experience working with an external CPA firm on tax planning, year-end close, and audits Tech-forward and AI-curious — you actively look for ways to use automation and modern tools to eliminate manual work and catch errors at the source Sharp attention to detail and a track record of clean, reliable reconciliations Fluent in Google Workspace (Sheets, Drive, Docs) Associate's or Bachelor's in Accounting, Finance, or Business preferred Based in or near Rochester, NY, and able to come into the office 1-2 days per week or a few days per month for physical filing and team time Bonus Points Experience with Brex or similar modern corporate card and expense platforms QuickBooks ProAdvisor certification AIPB Certified Bookkeeper (CB) or NACPB Certified Public Bookkeeper (CPB) Hands-on experience with AI tools for finance/accounting (receipt capture, transaction categorization, anomaly detection, automated reconciliation) Background in agencies, architecture, construction, or other project-driven creative businesses
Pay:
$25.00 - $32.00 per hour
