Job Description

JOB SUMMARY
: Incumbent works under the supervision of the Procurement Director to oversee the Inventory process from start to finish. Maintains inventory records of all departmental property accounts. Verifies account additions, turn-ins, temporary loans, shipping and receiving, resolves shipment errors, verifies receiving of all items ordered and added to appropriate account. The incumbent is responsible for reconciling property account records on a quarterly basis. Manage all incoming/outgoing mail and distributes mail to the appropriate departments. Assists the Property Specialist/Purchasing Agent as needed.
RESPONSIBILITIES
Assigned as property custodian with surveying and assists disposal of property as needed. Maintain accounts/file for all Kiowa Tribe property including GSA/Tribal vehicles assigned to the Kiowa Tribe. Ensures program/departmental property accounts are reconciled and updated every quarter. Assists the Property Specialist with inventories on a quarterly and annual basis. Monitors the GSA vehicle program via GSA Fleet Drive thru as well as Tribal Vehicles. Responsible for logging of all certified, overnight, outgoing mail as well as daily mail delivery. Confers with supervisor and assists with defective and/or unacceptable supplies and services; assists in determining the most effective corrective action. Other duties assigned as needed
QUALIFICATIONS
High School Diploma or general education equivalent. 4 - 6 years' experience in property/procurement preferred. Knowledge of computers, hardware/software in property/procurement or the willingness to learn. Knowledge of Microsoft Office and Outlook/email Working knowledge of property and inventory daily functions with attention to detail. Must be able to communicate effectively with departmental supervisors including but not limited to external and internal clients.
REQUIREMENTS
Must possess a valid Oklahoma state driver's license and be insurable under the Kiowa Tribe's Driving Policy Must submit to and pass a pre-employment background check and pre-employment drug test. Position is subject to random drug testing according to Tribe's Drug Free Workplace Policy. Must possess computer skills applicable to this position Must be able to communicate in an understandable, lucid manner when responding or reporting to management, clients, customers or the public.
PHYSICAL DEMANDS AND WORKING CONDITIONS
Regular sitting, standing, walking, talking, using hands, listening and observing. Regular working at a computer station for 2 - 4 hours at a time. Regular requirements for the use of the telephone. Must be able to carry equipment essential to certain assignments. Occasional reaching, stooping, bending, kneeling and lifting of items weighing 50 pounds or less Incumbent should be able to work well in a fast-paced environment, deal effectively with the public, and posses the ability to handle stressful or difficult situations in an expedient manner. Some work in and outside weather year-round.
