Job Description

Company Overview Special Mobility Services (SMS) is a dedicated non-profit organization committed to enhancing community access and mobility for individuals with special transportation needs. Serving multiple communities for over four decades, SMS provides vital transportation services that promote independence, healthcare access, and community connection. This position is in inner NE Portland, Kerns neighborhood. Our quaint and quiet office houses a small administrative staff that supports our operations in multiple locations. We are seeking a full-time detail-oriented staff member to work onsite and grow with our team. Job Summary Perform work as an Accounts Payable Specialist with a variety of general office and administrative duties. Will support office manager and other departments in various accounting, reporting, and compliance needs. Responsibilities Perform accounts payable duties such as tracking/receiving/coding invoices, account reconciliations, accurate general ledger coding, invoice entry, and payment processing. Prepare and maintain records for 1099 reporting. Meet month end deadlines with a variety of contractual monthly reporting requirements. Assist with tracking and document management of subcontractor requirements. Assist with monthly billing processes and provide reporting as needed. Maintain organized financial and company records according to record retention policy and assist with audit preparation. Answer telephone in timely manner and assist or direct calls to appropriate personnel. Perform office duties including maintaining office supply inventory, sending/receiving faxes, and receiving/distributing mail. Maintain and troubleshoot office machines, working directly with vendors as needed, and supporting office functionality and efficiency. Miscellaneous Duties Provide coverage for other branches for special projects when needed. Perform duties normally associated with other positions for limited periods of time to cover vacancies. Other duties as assigned. Experience 3+ years of experience in office administration, such as bookkeeping or accounting clerk, or equivalent training or experience. 3+ years of experience with computer applications such as Microsoft Office Suite, Google Workspace/Email, Internet/Computer with basic IT understanding required. Proficiency with accounting software needed (Sage 100 preferred). Experience with other office software packages helpful. Database experience a plus. Strong attention to detail, accuracy, and organization required. Ability to prioritize tasks and manage multiple deadlines. Be able to use email and office systems and maintain office to run smoothly. Candidate should have clear verbal and written communication skills. Ability to work cooperatively with co-workers necessary.
