Job Description

Overview We are seeking a detail-oriented and reliable Accounting and Procurement Coordinator to handle essential financial, accounting, procurement, and records management tasks in our small business. This role manages accounts payable, accounts receivable, journal entries in QuickBooks, weekly reporting, purchasing, and key file maintenance. The ideal candidate is highly organized and comfortable managing multiple responsibilities in a small-team environment. Responsibilities Accounting & Financial Duties Enter journal entries into QuickBooks Desktop 2024 (adjusting entries, accruals, depreciation, inventory adjustments, etc.) Manage full-cycle Accounts Payable (AP) and Accounts Receivable (AR) Process vendor invoices, match to purchase orders/receiving, and prepare weekly check runs Prepare and send customer invoices and follow up on collections Reconcile bank accounts Prepare and deliver accurate weekly financial reports to the business owner Enter Purchase Orders Procurement & Operations Support Create and issue purchase orders for materials, supplies, and services Track orders, follow up on deliveries, and resolve discrepancies or delays Source new vendors and materials to secure better pricing, quality, and availability Add and maintain files of service contracts for plant/equipment maintenance (HVAC, machinery, vehicles, etc.) Maintain and organize customer artwork files for vendors (logos, designs, print files, specifications, etc.) Maintain organized vendor files, pricing records, and inventory documentation Additional Responsibilities Perform month-end and year-end closing processes Support ad-hoc accounting, procurement, and administrative projects as assigned Ensure compliance with company policies and basic accounting best practices General Office Duties Requirements 2+ years of hands-on accounting/administrative experience, preferably in a small business Strong proficiency with QuickBooks Desktop 2024 (required) Solid understanding of double-entry bookkeeping Experience with Accounts Payable, Accounts Receivable, and purchase orders Excellent organizational skills and high attention to detail Strong proficiency with file management systems (digital folders, naming conventions, backups) Advanced Microsoft Excel skills Excellent written and verbal communication skills Previous small business experience (under 30 employees) Basic knowledge of inventory accounting
Pay:
$50,000.00 - $52,000.00 per year
