Accounts Payable Specialist

Job Summary We are seeking a dynamic and detail-oriented Accounts Payable Specialist to join our finance team. In this vital role, you will manage the company's accounts payable processes, ensuring timely and accurate payment of invoices, maintaining strong vendor relationships, and supporting overall financial operations. Duties Process and verify all incoming invoices using accounting software such as QuickBooks,Excel, or Workday, ensuring accuracy and completeness. Perform account reconciliations and resolve discrepancies related to accounts payable transactions. Prepare and review journal entries related to vendor payments, accruals, and expense allocations following GAAP standards. Manage vendor onboarding, maintain vendor records, and ensure compliance with SOX controls for internal audit purposes. Collaborate with procurement, finance, and human resources teams to ensure proper coding of expenses and adherence to company policies. Assist with month-end closing activities by reconciling general ledger accounts related to payables and expenses. Support payroll management processes by coordinating with HRIS systems such as ADP or UltiPro for benefits administration and employee data updates. Experience Proven experience in accounts payable functions within a corporate or public accounting environment. Strong knowledge of financial concepts including debits & credits, double entry bookkeeping, and general ledger accounting. Hands-on experience with accounting software such as Workday, Paychex, QuickBooks, Sage, or PeopleSoft is highly preferred. Familiarity with compliance standards like SOX and GAAP is essential for maintaining audit readiness. Demonstrated ability to perform account reconciliation, journal entries, and data entry accurately under tight deadlines. Knowledge of payroll management systems such as Kronos or Ceridian is a plus. Excellent analysis skills combined with attention to detail in handling accounts receivable, governmental accounting, or nonprofit accounting tasks is advantageous.
