Reno, NV Responsibilities Review and gather invoices with appropriate documentation and obtain approval prior to payment. Follow up with vendors on any discrepancies or issues with the invoices and payments. Code and enter vendor invoices into A/P system, print checks/create electronic files, route checks/electronic file for signature, mail checks, and maintain batch control reports. Code and process credit card statements and employee reimbursements. Maintain payable data and records thoroughly and accurately, in accordance with company policy and accounting practices. Create and maintain spreadsheets to track expenses and reimbursements related to trustee meetings travel. Obtain and match all receipts related to reimbursements Manage the office Petty Cash for reimbursements in addition to reconciling and maintaining tracking spreadsheet. Prepare and maintain written procedures on the Accounts Payable function and certain repetitive tasks. Update procedures on an annual basis. Assist with the Business Personal Property inventory tracking system: add and dispose of assets as directed by the Minerva Accountant or Tax Analyst and complete an annual asset inventory prior to tax filing. Enter metadata into record keeping software for all cash transactions (contributions, distributions, transfers, redemption's, etc). Clear exceptions on documents in the document collection software and enter appropriate data as necessary. Follow up with funds on missing documents and connections in document collection software. Manage new investment questionnaires through receipt. Update reporting frequency spreadsheet. Protect organization's value by keeping information confidential. Position in Brief Perform all aspects of accounts payable for a trust administration company that provides administrative and accounting services for six family trusts in addition to other basic accounting responsibilities. Assist with record keeping tasks, information gathering and filing, expense reports, spreadsheet maintenance, and other special projects as requested. Personal Qualifications Ability to perform mathematical computations such as percentages, fractions, addition, subtraction, multiplication and division accurately. Excellent organizational skills, able to handle a variety of tasks, must possess good attention to detail with emphasis on accuracy and timeliness. Be able to handle multiple requests with a pleasant attitude and prioritize and plan projects accordingly. Be willing to work independently and with a team. Good work ethic, a self-starter with excellent time management skills. Strong problem solving, documentation, research and resolution, and multi-tasking abilities. Thorough knowledge of applicable accounts payable/general ledger systems and procedures, financial chart of accounts and company procedures. Solid knowledge and expertise in Microsoft Excel, Word, 10-key by touch, and basic computer skills. Excellent communication skills both oral and written with the ability to always maintain a professional approach Professional Qualifications/Work Experience High School Diploma or GED; Associate or Bachelor's degree in accounting or business, or a minimum of 3 years' experience in accounts payable and/or accounting/business. Knowledge of basic accounting principles. General math skills. Proficiency in MS Office, including the ability to operate computerized accounting and spreadsheet programs. 10-key by touch. Physical Requirements Regularly spend hours using office equipment, computers, keyboard, mouse, and calculator frequently Regularly engage in intense concentration reviewing and entering financial information into a computer. Communicating verbally and in writing with vendors, coworkers, and management. • Ability to multi-task and work under flexible conditions to meet the goals of the office and projects that require deadlines.
