THIS IS A PART TIME REMOTE POSITION. CANDIDATE MUST LIVE IN NY OR NJ AND WITHIN 2 HOURS OF NYC FOR QUARTERLY IN-PERSON MEETINGS. A

  • Maintaining and updating books in QuickBooks Online for service-based, female-owned small businesses with revenue between $200K
  • 5M • Managing a client roster of up to 20-25 clients • Staying within contracted bookkeeping hours per client each month•hour compliance is a core expectation of this role • Building and maintaining the Ask Client List for each client•a running log of flagged transactions, questions, and items requiring client clarification, delivered to the Financial Guide in advance of each client meeting • Submitting the Ask Client List on time ahead of each client meeting • Communicating clearly with the Financial Guide on anything unusual or unclear in the books before the review • Conducting email correspondence with clients directly as needed • Adhering to quality control standards and being receptive to feedback from the bookkeeping review process • Attending team meetings to discuss client work and support the broader team • As Senior Bookkeeper, serving as a resource and point of guidance for junior bookkeepers on the team The Absolute Musts • 3+ years of bookkeeping-specific experience working with small businesses — background specifically within bookkeeping, not staff accounting or general accounting for a large firm • Extensive knowledge of bookkeeping and reviewing books through QuickBooks Online — a QuickBooks skills assessment will be administered as part of the interview process • Bachelor's in Accounting is a plus, not a requirement • Proficiency in Mac OS, Microsoft Office, QuickBooks Online, and Google Workspace • You do not own your own business • Extensive experience working with multiple types and sizes of small businesses • Demonstrated ability to manage multiple client deadlines simultaneously without dropping the ball • Comfortable working within contracted hour limits and flagging scope concerns before going over Part-Time, But Committed • Beginning with 5 hours per week, growing up to 25 hours as needed — flexible • The first 3 months is a training period to ensure mutual fit, after which the role becomes permanent and part-time • This is a long-haul position — we are looking for someone who wants to grow with us Day-to-Day • Maintain and update client books in QuickBooks Online•download bank statements, categorize transactions, maintain bank and credit card links, reconcile accounts • Create and maintain chart of accounts per client • Create and match payments for vendor bills and client invoices, including tracking of reimbursable expenses • Build and maintain the Ask Client List for each assigned client•flag unclear transactions, categorization questions, and anything requiring client input • Deliver the Ask Client List to the Financial Guide ahead of each scheduled client meeting per the established timeline •
Post-meeting:
receive action items from the Financial Guide and close them out in QuickBooks Online
  • Troubleshoot and analyze trends and red flags in client books
  • Download and send reports to clients as needed
  • Conduct email correspondence with clients directly as needed
  • Maintain contracted hours per client
  • track time carefully and flag to leadership before approaching the limit
As Senior Bookkeeper:
review junior bookkeeper work as directed and provide guidance on financial acumen and process
