Job Description

ESP Associates, Inc. is seeking a full-time Accounts Payable Coordinator to assist in this important phase of the accounting cycle. The ideal candidate is a team-player motivated to further their career working within a dynamic and growing acquisition-oriented firm. The position is in our corporate office in Fort Mill, SC (south Charlotte) office and will support all ESP office locations.
Primary Responsibilities:
Coding, entering, and processing overhead and project invoices for paymentDistributing all invoices received daily for approval and appropriate codingPrinting daily, weekly, and monthly checks for accounts payable and maintaining related filingCreating new vendor files in compliance with 1099 regulationsMaintaining insurance certificates and W-9 forms from new subcontractors for general liability and workers compensation coverageVerifying existing subcontractors certificates of insurance are up to datePreparing annual 1099sCompleting trade reference requests for new vendors/subcontractorsAssisting with the completion of purchasing documentsAssisting with and performing research for various external auditsFiling sales and use tax reportsFiling accounts payable and other related paperworkReviewing employee expense reports and credit card reports for accuracyReconciling monthly credit card reports
Secondary Responsibilities:
Performing miscellaneous administrative activities that support the groupCompiling mileage logs for various external auditsAssisting with payroll (backup to Staff Accountant)Reviewing timesheets for accuracy (backup to Staff Accountant)Developing in-depth knowledge of accounting and payroll platforms
Qualifications:
Ability to self-code invoices appropriately and accuratelyAbility to efficiently review, enter and process data into the accounting system Minimum of two (2) years of relevant experienceMust be proactive, detailed-oriented, and highly-organizedIntermediate experience with Excel and WordExcellent written and verbal communication skills with a variety of people inside and outside the firmAbility to work well in a team environment with minimal supervisionCandidate must be able to pass a drug screen, background check, and have a satisfactory driving record in accordance with the companys driving (MVR) policy.
Preferred:
Associates or Bachelors degree in accounting or related degreeGeneral accounting or Accounts Payable experience Knowledge of general ledger accountsFamiliarity of accounting principles and practicesKnowledge of local and state sales tax lawsKnowledge of general ledger accountsArchitecture/Engineering (A/E) industry and Unanet experience
