The Bookkeeper role at Ashby Jones and Associates LLC is crucial for enhancing our financial operations and ensuring precision in handling client and firm accounts. By maintaining excellent financial records and compliance, you will help us provide peace of mind to our clients and sustain our firm's operational excellence. Your work will directly impact both client trust and internal efficiency, supporting our commitment to safeguard client interests. What you'll do:
Daily Bookkeeping:
Maintain accurate transaction records, ensure proper coding, and manage journal entries with QuickBooks Online.
Trust Accounting:
Handle client trust deposits and disbursements, performing three-way reconciliations and maintaining compliance with IOLTA regulations.
Account Reconciliation:
Conduct bank and credit card reconciliations for operating and trust accounts, monitoring cash flow and account balances.
Accounts Payable/Receivable:
Manage vendor onboarding, payments, invoicing support, and tracking client payments and retainer replenishments.
Financial Reporting:
Prepare monthly financial statements including P&L, balance sheet, and cash flow reports to inform leadership decision-making.
Regulatory Compliance:
Support tax and regulatory filings and ensure audit-ready documentation maintenance. What we're looking for:
Financial & Bookkeeping Systems Experience:
Experience using bookkeeping and financial management software (e.g., QuickBooks, Xero, Zoho Books, or similar platforms) with strong attention to accuracy, organization, and reporting detail.
Trust Accounting Mastery:
Experience in three-way reconciliations and knowledge of IOLTA compliance standards. Attention to

Strong capabilities in managing multiple accounts and ensuring financial accuracy and compliance.
Professional Communication:
Clear and confident interactions with vendors, clients, banks, and internal stakeholders.
Analytical Skills:
Ability to identify financial discrepancies and implement effective solutions.
