Job Description

Administrative Assistant - Accounts Payable About Us Olson Custom Homes is a leading East Tennessee builder specializing in single-family homes, overnight rentals, and multifamily residential construction. We take pride in our high standards, attention to detail, and commitment to quality. As our company continues to grow, we are looking for an organized and dependable Administrative Assistant to support our Accounts Payable processes. The Role The Accounts Payable Assistant is responsible for processing subcontractor payment requests and helping maintain production workflow in the field. This role works closely with the Field Team, subcontractors, and office staff to verify charges, review documentation, and ensure labor expenses are entered accurately in Buildertrend. This position is a great fit for someone who is detail-oriented, organized, comfortable communicating by phone and email, and able to manage multiple tasks in a fast-paced office environment. What You'll Do Process subcontractor payment requests Communicate with Field Teams and subcontractors to clarify bills and verify charges Review labor charges to help ensure they are within budget and entered correctly Monitor multiple emails and respond as needed Provide guidance to the Field Team regarding labor charges Track subcontractor insurance and documentation compliance weekly Serve as a key point of communication with subcontractors regarding required documentation Assist with annual insurance audits Perform other administrative duties as assigned What We're Looking For Excellent written and verbal communication skills Strong attention to detail Dependability and follow-through Strong organization and time management skills Ability to coordinate information between office staff, field staff, and subcontractors General computer and internet proficiency Ability to work independently or as part of a team with minimal supervision Ability to prioritize daily workflow and complete required tasks accurately and timely Experience with Buildertrend or construction administration software is helpful but not required Schedule Full-time, Monday through Friday.
