This position is responsible for maintaining accurate financial records, managing tuition billing and collections, preparing monthly financial reports, and supporting the annual budgeting process. The ideal candidate is organized, dependable, and able to work independently while collaborating with school leadership. Experience in a private school, nonprofit, or educational environment is preferred but not required.
Primary Responsibilities:
Accounts Payable Process vendor invoices and monthly bills Prepare checks and electronic payments Reconcile monthly credit card transactions Track employee purchases and ensure proper coding to budget accounts Maintain accurate vendor records Accounts Receivable Create and manage student tuition billings Process tuition payments and maintain account records Review and track scholarships and tuition adjustments Monitor outstanding balances and assist with collection efforts when needed Accounting and Financial Reporting Prepare journal entries Reconcile bank accounts and other balance sheet accounts Maintain the general ledger Prepare monthly financial statements Assist the Head of School and Board with financial reporting and budget information Assist in the preparation of the school's annual operating budget Support year-end financial processes and audits as needed Qualifications Minimum 3-5 years of bookkeeping or accounting experience Experience with full-cycle bookkeeping Strong understanding of accounting principles and financial reporting Experience with QuickBooks Experience with Blackbaud or similar student billing/accounting software preferred Proficiency in Microsoft Excel, Word, and Outlook Strong organizational and time-management skills Excellent written and verbal communication skills Ability to manage multiple priorities and meet deadlines High level of accuracy, professionalism, and confidentiality Preferred Qualifications Experience in a private school, educational institution, or nonprofit organization Experience with tuition management and student billing systems About The Westwood School The Westwood School is an independent Montessori and International Baccalaureate school serving students from early childhood through high school.
