Job Description

RURAL SHADE BAPTIST CHURCH
(RSBC) Administrative/Financial Assistant Job Description The Church Administrative/Financial Assistant is responsible for working closely with the Lead Pastor, other staff, and volunteer leaders to support the overall ministry of the church. Under the direction of the Deacon Body and Lead Pastor, he/she will attend to a wide variety of responsibilities, including general office management, financial bookkeeping, and church communication. With a prayerful posture and humble dependence on the Holy Spirit, he/she will strive to honor Christ and serve his church. Prior experience in the field is a plus, but it is not required.
QUALIFICATIONS A

A commitment to excellence, personal growth, and teamwork. Experience in an administrative or financial role, preferably with a church or other non-profit Christian organization. Knowledge of general office equipment and technology. Proficiency in office and finance related software (e.g., Microsoft Office, QuickBooks) and church management software (e.g., Planning Center) is a plus. Proficiency with cloud filing and storage. Capacity to multitask, take initiative, be patient, and attend to details. Be a committed follower of Christ, growing in holiness and Christlikeness. Be a representative of RSBC, affirming our Statement of Faith, Constitution, and Bylaws. Background check and personal bond (premium paid by RSBC) will be required. Must agree to participate in random drug testing.
RESPONSIBILITIES
to RSBC and Tarkington Helping Hands (THH). These responsibilities include, but are not limited to, the following: GENERAL Attend church events and be active in a small group. Work closely with others to further the vision and mission of the church. Participate in staff meetings, monthly finance meetings, church business meetings and other special meetings, preparing agendas and recording minutes as directed. Maintain a file with all meeting minutes.
ADMINISTRATION
Coordinate building usage requests. Complete paperwork and collect fees for building usage and coordinate with Outreach Coordinator for calendar Maintain an accurate database of active and inactive members, visitors, and former members Purchase supplies for church Manage retirement accounts Coordinate with Committees to manage building and property insurance and drivers eligibility Manage corporation documents through the Texas Secretary of State Submit tax exemption documents with suppliers Process background checks for staff and volunteers Coordinate with vendors (e.g., janitorial services, lawn care and pest companies, safety and health inspectors) Coordinate with Outreach and Volunteers to help organize funerals, weddings, meal trains, and other activities Must maintain confidentiality on all church finance, including but not limited to, contributions to RSBC, payroll and expenditures Must cross-train with the Outreach/Online and Print Media Coordinator to understand and have knowledge of the work being done by the person in that position
COMMUNICATION
Answer emails, phone calls, and other communication received by the church. Answer the door during office hours. Pass along relevant information to the appropriate parties Send emails, write letters, and make phone calls on behalf of the church FINANCE Work with the Finance Committee to prepare the annual budget Manage accounts payable and accounts receivable as required and in a timely manner
Weekly:
Collect, record, and deposit all monetary offerings. Create a simplified financial summary. Run payroll
Monthly:
Create payroll and finance reports, perform bank and credit card account reconciliations, make tax payments (EFTPS), and complete IRS form 941 (quarterly) Quarterly and/or
Annually:
Create and distribute contribution statements, manage payroll reports and manage, file or perform the following: 1. 941 and W-3 forms 2. 1099 and W-2 forms 3. 990 forms for Helping Hands 4. Poster compliance 5. Property tax reports 6. Corporation license renewals 7. OSHA form 300a 8. Workers compensation audit 9. Complete annual church profile
MINISTRY SUPPORT
Provide general ministry support to church leadership Make copies, create documents, secure supplies, organize resources, and gather information as requested by church leadership
