Accounts Payable Specialist in Construction - Vista Viewpoint Preferred Position Summary We are seeking a detail-oriented Accounts Payable Specialist with preferred experience in Vista by Viewpoint and a strong background in the construction industry to join our finance team. This role plays a critical part in supporting project operations by ensuring accurate and timely processing of vendor invoices, subcontractor payments, and job-related expenses. The ideal candidate will have hands-on experience working in a construction or contracting environment, with a solid understanding of job costing, subcontractor invoicing, compliance requirements, and project-based accounting processes. Job Type & Schedule Full-time Monday to Friday, 8:00 AM - 5:00 PM (extended hours as needed) Benefits Medical, Dental, and Vision Insurance Life Insurance 401(k) with Employer Match Paid Time Off (PTO) Key Responsibilities Process high-volume invoices in Vista (Viewpoint), ensuring accuracy and proper job cost coding Perform 3-way matching (purchase orders, receipts, and invoices) for construction-related purchases Review subcontractor invoices for accuracy, contract compliance, and required documentation Manage and track lien waivers, insurance certificates, and compliance documents prior to payment Reconcile vendor and subcontractor statements and resolve discrepancies promptly Maintain accurate AP records and documentation within the ERP system Partner with project managers, superintendents, and procurement teams to resolve invoice and cost issues Assist with month-end close, including accruals, job cost reporting, and expense tracking Ensure compliance with construction accounting standards, contracts, and company procedures

Qualifications Required:

Hands-on experience with Vista by Viewpoint (ERP system) 2+ years of accounts payable experience, preferably in construction, contracting, or project-based environments Strong understanding of job cost accounting and project-based financial tracking Experience processing subcontractor invoices and vendor payments High attention to detail and accuracy in a fast-paced setting Ability to manage multiple deadlines tied to project timelines Proficiency in Microsoft Excel and general computer systems Strong communication and organizational skills Preferred Qualifications Direct experience in the construction or subcontracting industry Preferred experience with Vista Viewpoint Knowledge of job cost structures, cost codes, and budget tracking Familiarity with lien waivers, certified payroll, subcontractor compliance, and insurance requirements Experience working with project managers and field teams to support financial operations Understanding of retention, progress billing, and pay applications Work Environment Collaborative, team-oriented environment supporting construction operations Fast-paced, deadline-driven environment tied to project schedules and vendor payment cycles Frequent interaction with both office staff and field personnel
