Job Description

What You'll Do:
In this role, you'll be a key part of keeping a busy marine services operation running smoothly. You'll handle day-to-day bookkeeping in QuickBooks, manage billing and payments, track job costs and inventory, and make sure financial records are accurate and up to date. This position is hands-on and detail-driven, with real visibility into how the business operates and a direct impact on keeping jobs moving, accounts current, and the office running efficiently.
Key Responsibilities:
Bookkeeping & Financial Management (70%) Accurately record all financial transactions in QuickBooks, including service work, parts, fuel, subcontractor costs, and vessel-related expenses. Manage Accounts Payable (A/P), including reviewing vendor invoices for accuracy, coding expenses correctly, and ensuring timely payment. Manage Accounts Receivable (A/R), including issuing customer invoices for labor, parts, dock services, and marine work. Monitor aging reports and follow up on past-due accounts in a professional and consistent manner. Reconcile bank and credit card statements with internal financial records on a regular basis. Identify and resolve discrepancies related to billing, job costing, inventory, and ledger entries. Maintain accurate inventory records for parts, supplies, and consumables; assist with periodic physical counts and variance review. Track job costs, sales, and commissions to support accurate reporting and disbursements. Prepare and maintain financial, inventory, and job-costing reports for management review. Assist with budgeting, cash flow tracking, and basic financial analysis. Identify opportunities to improve bookkeeping, billing, and inventory control processes. Follow established procedures and best practices to support accurate, efficient financial operations. Office & Operations Support (30%) Support daily office operations in a working marine services environment. Serve as a point of contact for customers, vendors, and internal crews, maintaining professional and clear communication. Coordinate with dock crews and management to ensure job documentation, billing, and inventory records remain aligned. Maintain an organized, functional, and professional office environment suitable for a marine operation. Perform additional administrative and operational tasks as needed to support business operations.
Requirements:
3+ years of experience in bookkeeping or accounting support, preferably in a service-based, industrial, or marine-related business. Working knowledge of QuickBooks Online and general accounting practices. Experience with Accounts Payable, Accounts Receivable, bank reconciliations, and basic financial reporting. Experience tracking inventory or job costs; comfortable working with physical counts and resolving discrepancies. Strong attention to detail and ability to stay organized in a fast-paced, hands-on work environment. Professional communication skills and the ability to handle direct or challenging conversations with customers and vendors. Comfortable working with field crews, vendors, and management in an active dock-side or industrial setting. Proficient with Microsoft Office (Excel, Word, Outlook) or similar business software.
