Job Title:
Accounts Payable SpecialistJob Description The Accounts Payable Specialist manages the end-to-end accounts payable process, with a particular focus on invoice processing, vendor relations, and joint interest billing within the energy sector. This role ensures accurate and timely payments, maintains strong vendor relationships, and upholds financial integrity through careful reconciliation and adherence to internal controls. The specialist uses accounting software and Microsoft Office tools to support efficient, compliant, and well-documented financial operations. Responsibilities + Receive, review, and code vendor invoices accurately to the appropriate accounts and cost centers. + Verify invoice details, including quantities, pricing, and terms, to ensure accuracy and compliance with company policies. + Perform three-way matching of purchase orders, receipts, and invoices before processing payments. + Organize and maintain invoice documentation and records in an orderly and accessible manner. + Schedule and execute timely payments to vendors, ensuring adherence to agreed payment terms. + Monitor accounts payable aging and follow up on outstanding items to maintain current and accurate balances. + Respond promptly and professionally to vendor inquiries regarding payments, invoices, and account status. + Maintain up-to-date and accurate vendor records, including contact information and payment details. + Manage Joint Interest Billing (JIB) processes specific to the energy sector, including billing between partners and working interest owners. + Ensure accuracy of JIB entries and allocations, and resolve discrepancies in coordination with internal and external stakeholders. + Perform regular reconciliations of accounts payable sub-ledgers to the general ledger to ensure data integrity. + Identify and resolve discrepancies or errors in invoices, payments, and vendor accounts. + Adhere to established financial controls, policies, and procedures throughout all accounts payable activities. + Use accounting software, such as PakEnergy/WolfePak, to enter, track, and report accounts payable and JIB transactions. + Utilize Microsoft Excel, including pivot tables, to analyze accounts payable data and prepare reports as needed. + Collaborate with accounting and finance team members to support month-end and year-end closing activities related to accounts payable. + Communicate effectively with internal departments to obtain approvals, clarify charges, and resolve billing issues. + Contribute to process improvements in accounts payable and JIB workflows to enhance efficiency and accuracy. Essential Skills + Proven experience in accounts payable, including invoice processing and payment execution. + At least 2 years of experience in accounts payable (AP). + At least 2 years of experience in Joint Interest Billing (JIB), preferably within the energy sector. + Strong knowledge of invoice processing, including coding, verification, and organization of vendor invoices. + Hands-on experience with three-way matching of purchase orders, receipts, and invoices. + Demonstrated ability to perform reconciliations and maintain financial accuracy and data integrity. + Experience managing vendor communication and maintaining vendor records. + Background in accounting, preferably within Oil & Gas or Carbon Capture, Utilization, and Storage (CCUS). + Proficiency in accounting software, such as PakEnergy/WolfePak, or similar systems. + Proficiency with Microsoft Office, particularly Excel, including the use of pivot tables. + Strong attention to detail and accuracy in all aspects of accounts payable work. + Effective communication skills, both written and verbal, for interacting with vendors and internal stakeholders. + Demonstrated leadership capabilities in managing responsibilities and collaborating with team members. Additional Skills & Qualifications + Experience working in the Oil & Gas industry or related energy sectors. + Experience with Joint Interest Billing (JIB) processes specific to energy operations. + Familiarity with financial controls and compliance requirements in an accounting environment. + Ability to analyze accounts payable data and present findings using Excel pivot tables and reports. + Strong organizational skills to manage multiple invoices, deadlines, and vendor relationships simultaneously. + Capability to identify process improvement opportunities within accounts payable and JIB functions. Work Environment The Accounts Payable Specialist works in a professional office-based accounting environment focused on energy-sector operations. The role relies heavily on accounting software such as PakEnergy/WolfePak and the Microsoft Office suite, particularly Excel, to process invoices, manage Joint Interest Billing, and maintain accurate financial records. The position involves regular collaboration with accounting and finance team members, as well as frequent communication with vendors and partners. Work typically follows standard business hours, with periods of increased activity around month-end and year-end close. The environment emphasizes accuracy, adherence to financial controls, and consistent, reliable communication. Job Type & Location This is a Contract to Hire position based out of Plano, TX. Pay and Benefits The pay range for this position is $28.00 - $28.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
