Accounts Payable and Travel Specialist I Full-time/40 Hours per Week Salary Commensurate with experience. Job Summary The Accounts Payable and Travel Specialist position is responsible for timely and accurate processing of vendor invoices and employee non-payroll payments and related activities. Major Responsibilities/Duties/Critical Tasks Perform data entry tasks, including setting up and maintaining vendor records, entering invoices, and processing voucher journal chartfield corrections. Escalate related issues to the supervisor as necessary. Accurately and promptly process assigned invoices, ensuring proper matching of purchasing and receiving documents, correct general ledger expense account distribution, and compliance with the Texas Prompt Payment Act to maximize available discounts. Process assigned travel expense reimbursements and "My Wallet" travel credit card payments and notify the supervisor of any travel-related issues. Provide information and guidance to customers regarding accounts payable and travel policies, procedures, processing methods, and fiscal controls. Manage Financial Services travel authorizations and expense report processing as assigned. Serve as backup for other accounts payable and travel staff during absences or peak volume periods. Assist in training university staff on applicable accounts payable and travel policies, procedures, and use of the automated accounting system, as needed or scheduled. Support the Financial Services department with related accounts payable duties. Attend meetings, training sessions, and conferences related to accounts payable and travel functions. Other duties as assigned. Required Education/Experience High School Diploma One (1) year of experience in accounts payable or expense processing. A combination of experience and education may be considered. Preferred Education/Experience Associates degree in a business-related field. Two Years of bookkeeping related duties and experience using PeopleSoft system accounts payable and travel related modules. Database knowledge. Accompanying Knowledge, Skills, Abilities and Competencies horough knowledge of and ability to quickly learn applicable laws, codes, regulations, standards, policies, methods, and practices related to accounts payable and travel management. Ability to identify transaction related problems, collect and analyze data, establish facts, perform thoughtful interpretation, draw valid conclusions, and propose appropriate courses of action. Strong customer service and communication skills, both in person and over the phone. Detail-oriented with the ability to manage multiple responsibilities effectively. Work independently and as part of a team. Proficiency in managing and reviewing documentation. Respond flexibly and positively in all circumstances, working calmly under pressure. Ability to adapt to new technologies and software systems quickly. Strong written and oral communication skills.
