Job Description

We are hiring for the hybrid role of Agent Experience Manager (AEM) and Transaction Account Manager (TAM). Position Summary - the duties of your position will be quite varied and from day to day. As an Agent Experience Manager, your responsibilities will include: Act as the Agent's relationship manager and main point of contact for all requests, helping solve problems and escalating as needed while liaising with marketing and other departments; Responsible for assisting with the onboarding process for new agents; Act as an ambassador of The Agency, welcoming agents and visitors at our office; Responsible for assisting new agents in adapting to our company culture and working with agents to increase awareness of available initiatives; Manage listing transfers throughout the onboarding process; Continue to build on The Agency's strong foundation of customer service, ensuring our agents are passionate about The Agency; Provide training, direction, and outstanding customer service to support agent workflow within our proprietary and third-party software systems; Maintain and build relationships with agents to support the growth of their business; Ensure day-to-day high priority issues are resolved thoroughly with a strong customer-service mindset; Ensure listing compliance with regulatory and brand guidelines; Maintain databases on behalf of Agents; Regular, proactive and effective communication with other admin, Agents, management and the marketing team to bring listings to market, both at your primary office but also at others; Management of Multiple Listing Service (MLS) and regular updates of same as may be required; Adherence to local rules and regulations from DBPR as well as the various associations and their applicable MLS's; Complete facility management tasks, including keeping of track of general office and business supply needs, equipment troubleshooting & repair coordination; Overseeing general office appearance and maintenance issues to ensure the office is tidy and always well presented; Answering phones, taking and relaying messages, booking showings and home inspections, preparing listing paperwork, compiling MLS data sheets, preparing offer paperwork, collecting showing feedback, communicating with external agents about our listings, assisting with client communication and updates, updating databases and monitoring workflows, coordinating couriers and deliveries, facilitating paperwork via email, DotLoop and Docusign, etc; Communicating with our other Admin to ensure everyone is providing the best level of service to our Agents; Assisting our Transaction Department when necessary with absolute discretion in entering and reconciling anything and everything as it pertains to closing transactions, reconciliations, audits and compliance; Other duties as may be requested by our Chief Agent Experience Manager or leadership team. As a Transaction Account Manager, your responsibilities will include: Manage and monitor transaction deadlines for critical milestones, such as closing dates; Review contracts to ensure all necessary documents are complete, accurate, and signed by all parties involved in the transaction; Coordinating with agents, other admin and title/escrow to manage the closing process; Communicating with clients and agents and acting as a liaison between buyers, sellers, agents, lenders, and other parties involved in the transaction to ensure clear and timely communication; Ensure compliance and verify that all required documents and forms are included to comply with legal and regulatory requirements; Tracking transaction status and maintaining detailed records of each transaction's progress and providing regular updates to agents, clients, and other relevant parties as needed; Organizing, scanning and storing all necessary transaction documents and other file requirements; Preparing closing documents and ensuring all paperwork is ready close of escrow; Update and manage client records in the brokerage's CRM or document management system, adhering to applicable privacy laws; Providing administrative support to agents from a transaction perspective such as drafting documents and ensuring compliance with regulatory bodies; Assist with commission disbursements in compliance with state laws and brokerage policies, ensuring timely payment to agents, Other duties as may be requested by our Chief Transaction Account Manager or leadership team.
Required Skills:
Experience with Lonewolf Transaction Software Experience with showing systems Experience with DotLoop Impeccable grammar, proofreading and copyediting skills Highly detail-oriented with a keen attention to detail Strong written, verbal and interpersonal communication skills across all levels of the organization (internal and client-facing) Proficient in Microsoft Office and Google Suite of software Exceptional organization and time management skills Ability to juggle multiple competing priorities Able to effectively work under pressure and meet deadlines in a fast-paced, results-driven environment Proven ability to gain trust and respect by consistently demonstrating sound critical-thinking skills and maintaining composure in stressful situations Exceptional initiative and follow-through skills Taking initiative and knowing what needs to be done and operating with a sense of urgency, focus and discipline Being able to manage different and difficult personalities, expectations and situations We truly are a fast-paced, dynamic, ever-changing and evolving work environment where our number one priority is to deliver extraordinary service to our clients and Agents while having some fun along the way!
Pay:
