Pension Professionals Senior Administrative Associate Full-Time | Biddeford, ME | In-Person | $60,000 - $65,000/year Position Summary Pension Professionals is seeking a seasoned Senior Administrative Associate to provide advanced client support and collaborate closely with Wealth Managers. This in-office role requires financial services experience, retirement plan knowledge, third-party partner management skills, and the organizational discipline to manage complex, deadline-driven work with precision and integrity. Core Responsibilities Client Services & Relationship Management Deliver high-touch support to a sophisticated client base; manage onboarding, documentation, account openings, and prior account transfers Process money movement transactions; confirm and authenticate client identities per firm protocols Prepare meeting agendas and materials; resolve client inquiries and keep key information current Retirement Plan Support Support administration of qualified retirement plans (401(k), defined benefit, 403(b), ERISA-governed); assist with plan documentation and compliance deadlines Coordinate with plan sponsors, participants, and advisors to ensure accurate, timely plan servicing Third-Party Partner & Recordkeeper Management Serve as a point of coordination with recordkeepers, custodians, TPAs, and other service providers Track open items, follow through on external partner deliverables, and escalate service issues on behalf of clients and the firm Team & Office Operations Develop and improve office workflows; coordinate complex multi-step projects across internal and external stakeholders Perform advanced confidential functions; maintain sensitive information with full integrity and sound judgment Qualifications 7+ years of financial services office experience in a similar role Demonstrated experience supporting or administering qualified retirement plans (401(k), defined benefit, 403(b), SEP, SIMPLE, or similar) Experience managing relationships with third-party recordkeepers, custodians, or TPAs Strong proficiency in Microsoft Office (Outlook, Word, Excel, Publisher) and Adobe Acrobat Exceptional written, oral, and interpersonal communication skills Proven ability to work independently, manage competing priorities, and lead team members FINRA licensing (Series 6, 7, 63, 65, or 24) highly preferred; must be willing to obtain within 6 months if not currently licensed Experience with Redtail CRM, MoneyGuide Pro, and/or eMoney a plus Kolbe profile welcome; assessment provided if needed Benefits Health, dental, and vision insurance | 401(k) with employer match |
