Job Description
Job Summary Administers all financial aspects of the LARC operation (including Acadian Village) and on a day-to-day basis under the direct supervision of the Chief Executive Officer (CEO). Primarily responsible for maintaining accounting records on all revenues and expenditures of the LARC, Acadian Village and LARC Foundation operations and ensuring compliance by departmental directors with annual budgets adopted by the LARC Board of Directors. Simultaneously responsible for performing continuing financial and performance analysis of those operations and providing reports and recommendations to the Chief Executive Officer (CEO) based upon the findings of that analytical work. Responsibilities includes but not limited to the following:
- Compile, analyze and prepare cost reports for government agencies.
- Compile, analyze and prepare monthly financial statements for the various departments and the Chief Executive Officer (CEO).
- Maintain general ledger and enter all general journal entries.
- Maintain all checking accounts
- Reconciles and balances accounts.
- Analyze and review budgets for various departments.
- Record depreciation for all assets.
- Compile reports to show statistics such as cash receipts and expenditures, accounts payable and receivable, profit and loss, balance sheets and other items pertinent to operation of business.
- Determines work procedures, prepares work schedules, and expedites workflow in Finance Department.
- Issues written and oral instruction.
- Assigns duties and examines work for exactness, neatness, and conformance to policies and procedures.
- Compile, analyze and prepare Acadian Village sales tax reports.
- Monitor Financial procedures to improve efficiency of all departments.
- Establish processes through which LARC could maximize receipt of billable revenues and monitoring the results of that on a continuing basis.
- Maintains harmony among workers and resolves grievances in the Finance Department.
- Address errors and complaints in Finance.
- Liaison person between finance department and independent, state and workers compensation auditors. Prepare schedules required by auditors.
- Oversee accounting software
- Oversee Medicaid billing software.
- Monitor the Residential Client Bank Accounts.
- Count, verify and make deposits for Noel Acadien Au Village. Count, verify and make deposits in the absence of Accounts Receivable Clerk.
- Types invoices, checks, reports, and other records.
- Bank - open accounts, wire transfer, stop payments, inquire on deposit or check(s) and direct deposit.
- Prepare W-9 when necessary
- Open charge accounts when necessary.
Accounts Payable:
- Approve purchase requisitions for issuance of purchase orders.
- Serve as accounts payable backup.
- Process 1099's.
Accounts Receivable:
- Monitor Accounts Receivables.
- Review monthly receivables with AR Clerk.
Payroll:
- Analyze and verify quarterly tax reports. Process and verify W-2's and payroll year end functions.
- Oversee the complete payroll operation, including acting as a payroll backup.
- Assist with payroll problems.
Noel Acadien Au Village:
- Oversee nightly finance responsibilities. Analyze and compile financial comparative data.
- Make deposits nightly. Drop off nightly deposits at the bank.
- Determine next day startup cash needs and make appropriate change.
- Distribute startup boxes to all stations at the beginning of each night.
- Open bank account for raffle and advance tickets.
- Collect raffle proceeds and deposit into bank account.
- Maintain all financial information dealing with the raffle.
- Verifies and posts details of business transactions, such as funds received and disbursed, and total accounts.
- Setup online ticket sales for admissions.
Foundation:
- Compile, analyze and prepare monthly financial statements for the foundation.
- Maintain general ledger and enter all general journal entries for the foundation.
- Reconciles and balances the Foundation's bank accounts.
- Work closely with auditors
- Must be available for all Executive, Board of Directors, Staff and related committee meetings.
- Perform other routine duties as assigned by Chief Executive Officer (CEO)
SUPERVISORY RESPONSIBILITIES
Directly supervise all employees in the finance department. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employes; planning, assigning, and directing work; performance appraisals, rewarding disciplining employees; addressing complaints and resolving problems. EDUCATION and/orEXPERIENCE
- A bachelor's degree in business/management, finance and or health and human services is preferred.
- Experience should include at least ten (5) years of accounting / financial experience or an equivalent combination of education and experience.
ABILITIES
- Working knowledge of Microsoft Work and Microsoft Excel.
- Typing ability of 50 WPM.
- Ability to communicate.
