Job Description

Company Overview We are a growing independent insurance adjusting firm that conducts investigations of automobile and general liability claims on behalf of major insurance companies. Our work helps insurance carriers gather facts, evaluate liability, and resolve claims efficiently and fairly. We are seeking an organized, dependable, and detail-oriented Administrative Assistant to join our team. This position offers significant opportunity for growth and advancement. The ideal candidate is someone looking to build a long-term career and eventually take on increased responsibilities, including office management, payroll administration, and operational support. Position Summary The Administrative Assistant will provide critical support to our claims investigation team by handling data entry, document management, records requests, and client communications. The position will begin as an in-person role to facilitate training and integration into our operations. After approximately three months, qualified employees may transition to a hybrid or remote work arrangement. Responsibilities Enter and maintain claim information in company and client systems Prepare and submit assignments and completed work to insurance company clients Process and track public records requests, including police reports and other government records Request and organize medical records and related claim documentation Maintain electronic claim files and ensure documentation is complete and properly organized Monitor deadlines and follow up on outstanding records and requests Assist with scheduling and general office administration Provide support to investigators and management as needed Help improve office processes and workflow efficiency Preferred Additional Skills While not required, experience or interest in any of the following areas is a significant plus: Basic payroll administration Office management Basic IT troubleshooting and technology support Microsoft Office, Google Workspace, and cloud-based systems Process improvement and workflow management Qualifications Strong organizational skills and attention to detail Ability to manage multiple tasks and deadlines simultaneously Excellent written and verbal communication skills Strong computer and data entry skills Ability to work independently while maintaining accuracy Professional and dependable work ethic Prior administrative experience preferred but not required Experience in insurance, legal, medical, or professional services environments is a plus Growth Opportunity This is not simply an administrative support position.
