We are looking for a highly organized and detail-oriented Office Claims Assistant to support our claims and administrative operations. Position Overview This is a fast-paced administrative and client-facing role that requires exceptional communication skills, professionalism, accuracy, and strong computer literacy. You will be responsible for assisting with day-to-day office operations, communicating with clients and insurance carriers, managing claim-related correspondence, answering inbound calls, and helping keep files organized and moving efficiently. This role is ideal for someone who is highly dependable, learns quickly, communicates clearly, and takes pride in precision and professionalism. Responsibilities Answer inbound phone calls professionally and direct calls appropriately Respond to client, vendor, and insurance company emails in a highly professional and grammatically correct manner Assist with claim file organization and document management Track claim correspondence, deadlines, and follow-ups Upload, download, organize, and maintain digital claim files Scan, organize, and digitally file checks and other financial or claim-related documents Communicate with clients regarding documentation requests and claim updates Assist adjusters with administrative and operational tasks Prepare and format letters, forms, and claim-related documents Maintain accurate internal notes and records Handle sensitive and confidential information professionally Requirements Strong computer literacy is
REQUIRED
Excellent written and verbal communication skills Exceptional spelling, grammar, and proofreading ability Must be able to draft professional communications accurately without reliance on grammar assistance software, autocorrect dependency, or AI writing tools High attention to detail and accuracy Professional phone etiquette Ability to multitask in a fast-paced environment Strong organizational skills Ability to learn insurance and claims terminology quickly Reliable, punctual, and professional demeanor Preferred Qualifications Experience in insurance, public adjusting, restoration, construction, or administrative office environments preferred Experience with Microsoft Office, Google Workspace, PDF management, and digital file organization systems Experience with the Zoho One Suite and ClaimWizard is extremely preferred Multilingual candidates fluent in Spanish, Cantonese, Mandarin, and/or Hebrew are a plus Who We're Looking For We are looking for someone who communicates with precision, thinks critically, stays organized under pressure, and understands the importance of professionalism when dealing with clients who may be experiencing stressful property losses.
