JOB SUMMARY
The Medicaid and IDEA Compliance Manager is a classified district office support position responsible for organizing, tracking, and maintaining records related to the Individuals with Disabilities Education Act (IDEA) and school-based Medicaid reimbursement programs. This role ensures that student documentation meets strict federal, state, and local regulatory guidelines. The manager serves as a key administrative liaison between district staff, clinicians, and billing platforms to ensure timeline compliance and optimal, compliant reimbursement.
Essential Duties & Responsibilities IDEA & Special Education Document Tracking Timeline Management:
Monitor and track regulatory timelines for Individualized Education Programs (IEPs),
Record Coordination:
Ensure all completed special education files are accurately processed, uploaded, and organized within the district's compliance software.
Meeting Support:
Assist in gathering data for State reporting purposes.
Medicaid Billing & Data Maintenance Service Log Tracking:
Review and verify provider service logs (Speech, Occupational Therapy, Physical Therapy, Nursing, and Psychology) against IEP mandates for accuracy and complete documentation.
Billing Administration:
Input and submit compliant claims into the electronic school-based Medicaid billing system.
Internal Auditing:
Conduct routine, proactive audits of service logs to verify correct billing codes, signatures, and credentials ahead of state reviews.
Liaison Support:
Act as the primary technical point of contact for the district's Medicaid billing platforms and external service vendors.
District Staff Support Administrative Training:
Provide troubleshooting assistance and workflow training to certified teachers and therapists regarding the use of compliance and billing software.
Documentation Guidance:
Send reminders and technical feedback to staff to resolve formatting errors or missing log entries before deadlines.
Qualifications & Skills Education & Experience Required:
Associate's degree or equivalent post-secondary college credits/professional certification
Preferred:
Two or more years of experience handling records in an educational, legal, or medical setting. Experience specifically with school district billing or special education software is a strong plus. Knowledge, Skills, and Abilities Familiarity with general student data privacy rules ( FERPA ) and an understanding of special education and medical log documentation. High technical proficiency in using database software, spreadsheet programs, and general data management platforms. Exceptional attention to detail with the ability to identify missing data or formatting errors across vast sets of records. Strong interpersonal skills to collaborate productively with various school nurses, psychologists, therapists, and administrative staff.
Physical Demands & Work Environment Environment:
Standard district office environment with secondary travel to local school buildings as needed.
Demands:
Prolonged periods of sitting at a desk and working on a computer; occasional lifting or moving of physical record files up to 20 lbs.
