Job Description

Garan Incorporated Starkville, Mississippi Traceability Coordinator The person we are seeking must prioritize thoroughness, attention to detail. This individual will perform duties related to compliance with Traceability requirements; responsible to trace all purchase orders placed for thread, fabric, and garment purchases. Must work directly with fabric mills and Full Package garment factories as well as Altana to request, gather, receive and review US Government required traceability documents. Accuracy is critical to the Company. Typical duties and responsibilities Using Simparel, create a chart of all POs for fabric and for Full Package orders for each season. For thread, POs will be received from the garment factories directly. Update PO chart weekly to add new POs. Email thread, fabric and Full Package suppliers to request complete traceability documents for each PO. Receive emails from thread, fabric and Full Package suppliers containing traceability documents. Save all documents digitally in the designated folder for each supplier. Print all documents received. Check Altana for documents received. Use Altana to check the status of Garan Tier I suppliers uploading traceability documents. If a supplier is not uploading their documents, reach out to the supplier requesting the supplier input their documents. Copy the Compliance Manager on the email. Must check Tier I, Tier 2, Tier 3, Tier 4, Tier 5 suppliers and forward throughout the supply chain in Altana and must bring to attention of the Compliance Manager any missing data or supplier that is not participating in or using Altana properly. Compare all documents printed against the established checklist of necessary documents. Request missing documents from each supplier as needed. On the third request for the same documents alert the Regulatory Compliance Manager of the lack of response from the supplier so they can follow up. File documents in folder labeled with supplier name, style number, and all PO numbers and place in file cabinet in closet when complete. Maintain the PO chart by notating when requests for documents are made, when documents are received, when PO documents are complete. Note if/when escalation to Regulatory Compliance Manager is necessary. Move files into storage at the completion of each season and with the approval of the Regulatory Compliance Manager, purge old files as necessary. Physical copies must be held for 1 calendar year, while electronic documents must be maintained for 10 years per Walmart and the US Government requirements. If a container should be held at port by Customs and Border Protections (CBP) and traceability documents are requested, must be able to pull physical documents for every purchase order on the container and print the traceability map from Altana. Must pass the documents to the Regulatory Compliance Manager and work with the Regulatory Compliance Manager to label all the documents and prepare the required document packet for the CBP. If documents are missing or not present, the container will not be released. This will then create a chain reaction and all like containers will be held, so it is critical that all information be present and correctly accounted for in the document files. Perform additional duties as requested to meet company and departmental goals and for the efficient utilization of manpower. Required skills and qualifications Extensive knowledge of industry regulations and governing laws. Proficient in office and compliance management software. Strong analytical, investigative, and organizational skills. Ability to solve problems when they arise Excellent attention to detail. Solid interpersonal and communication skills. Excellent written and verbal communications skills. Ability to effectively discuss with regulatory, technical, and legal professionals. Strong computer skills and Microsoft Office skills.
