Job Description

Position Overview:
The Director of Impact, Data & Compliance serves as a senior leader responsible for building, managing, and safeguarding the organizations data, compliance, and reporting systems that drive the Boys & Girls Club of Generational Empowerment (BGCGE). This role ensures that all programs operate with high standards of accuracy, accountability, and excellence in alignment with grant requirements, state systems, and organizational expectations. The ideal candidate brings advanced analytical skills, a deep understanding of data systems, proven experience in compliance-driven environments, and the ability to translate complex information into clear operational processes. This leader plays a critical role in supporting organizational decision-making, grant success, accountability structures, and staff capacity building.
Primary Function:
Leads the development, management, and oversight of organizational data systems, enrollment, memberships, compliance operations, grant reporting structures, and internal auditing processes. Oversees ClubHub, EZ reporting, student tracking systems, SOP implementation, and cross-site training to ensure BGCGE maintains accurate, reliable, and compliant data. Key Responsibilities 1. Data Strategy, Systems Management & Reporting
  • Serve as BGCGE's senior authority on all organizational data systems, ensuring accuracy, reliability, and compliance.
  • Lead data tracking efforts for all grants, including Title II (CYFD Salesforce), Out-of-School Time (NMPED EZ Reports), EPICS, and any additional grants requiring student-level or attendance data.
  • Create and maintain memberships, enrollment, internal dashboards, tracking tools, and reporting structures that support leadership decision-making.
  • Support the CEO and COO with data for board reports, strategic planning, grant proposals, program evaluations, and performance assessments.
  • Conduct data validation checks to ensure accuracy before submission to funders or state systems. 2. ClubHub Leadership (Platform Administrator & Lead)
  • Serve as the primary administrator for BGCGE's ClubHub data platform.
  • Oversee all data entry, data monitoring, troubleshooting, and system integrity.
  • Train Site Directors and staff on proper use of ClubHub for attendance, enrollment, outcomes, and reporting.
  • Monitor system performance and provide quarterly ClubHub summaries to the COO and CEO.
  • Maintain system documentation, SOPs, and workflows supporting consistent implementation across sites. 3. Compliance Management & Internal Audit Systems
  • Develop and manage internal auditing procedures to ensure adherence to grant requirements, organizational expectations, and state reporting standards.
  • Conduct site-level audits focusing on attendance tracking, enrollment documentation, CYFD contract compliance, and accurate reporting.
  • Issue audit findings, follow-up plans, and recommendations for improvement.
  • Partner with the COO to verify that corrective actions are implemented.
  • Serve as a compliance resource for Site Directors, program staff, and leadership. 4. Grant Reporting, Close-Outs & Performance Documentation
  • Lead data-related components of grant reporting, including quarterly, semiannual, annual, and final reports.
  • Collaborate with the CEO and COO to complete data-driven close-out packages for CYFD, NMPED, JJAC, and other grantors.
  • Create PowerPoint presentations, data summaries, and impact briefs.
  • Attend grant-related calls, monitoring visits, and compliance meetings. 5. Standard Operating Procedures (SOPs) & Organizational Systems Development
  • Develop, refine, and implement SOPs for data collection, reporting, compliance protocols, and operational workflow.
  • Work with the CEO and COO to standardize organizational practices across all sites.
  • Update SOPs in response to regulatory changes, new grants, or organizational expansion.
  • Ensure all staff understand and follow SOPs through training and documentation. 6. Staff Training, Capacity Building & Leadership Support
  • Train Site Directors and program staff on BGCGE Student Tracking Sheet, ClubHub usage, data accuracy, and reporting protocols.
  • Provide ongoing coaching and technical assistance.
  • Develop staff capacity to use data for improvement and program planning. 7. Technology & System Integration Strategy
  • Evaluate and recommend technology tools that improve efficiency and data quality.
  • Support implementation of new systems and transitions between platforms.
  • Maintain coordination with software vendors, state agencies, and leadership. 8. Risk Management & Compliance Strategy
  • Identify risk areas related to data handling, grant compliance, or documentation gaps.
  • Develop mitigation strategies in partnership with the COO.
  • Maintain internal controls ensuring organizational accountability. Other Duties as Assigned
  • Perform additional responsibilities or special projects assigned by the CEO or COO to support organizational priorities or emerging grant requirements. Qualifications
  • Bachelor's or master's degree required in Education, Educational Leadership, Data Analytics, Public Administration, Business Administration, or a related field.
  • Experience with grant-funded programs, compliance reporting, or state data systems.
  • Proficiency in Excel, Salesforce, EZ Reports, ClubHub, or comparable platforms.
  • Strong analytical, organizational, and communication skills.
  • Ability to train staff in both remote and in-person settings.
  • Experience conducting audits, ensuring compliance, and supporting multi-site operations is preferred. Work Environment
  • Full-time, exempt position.
  • Hybrid role with both remote and in-person responsibilities.
  • On-site visits required for audits, training, program observation, and new Club development.
  • Occasional evenings or weekends required during reporting cycles or special events.
