Job Description
Unlimited Home Care, LLC is a growing, Indiana-licensed home care agency providing compassionate Medicaid waiver and private-pay personal care services across all 92 Indiana counties. Founded on the belief that everyone deserves to live with dignity and independence in the comfort of their own home, we are building a team of dedicated professionals who share our passion for exceptional care. As we continue to grow, we are looking for an Office Manager / Compliance Coordinator to be the backbone of our daily operations and compliance efforts.
Position Overview:
We are seeking a highly organized, detail-oriented Office Manager / Compliance Coordinator to join our team on a part-time basis, with the potential to grow into a full-time role as the agency expands. This is a hybrid role that combines daily office management with HR compliance responsibilities. You will be the central hub of our agency's operations — managing caregiver scheduling, maintaining personnel files, ensuring regulatory compliance with Indiana State Department of Health (ISDH) requirements, and supporting billing and payroll functions.Key Responsibilities:
Daily Operations:
Manage caregiver scheduling, shift assignments, and coverage coordination Answer phones and respond to client, family, and referral source inquiries Coordinate new client intake and onboarding processes Monitor Electronic Visit Verification (EVV) system for compliance and flag missed visits Maintain organized office filing systems (physical and digital) Serve as the primary point of contact for caregivers and clients during business hoursHR and Compliance:
Maintain all employee personnel files — Licensed Personnel Records (LPR) and Non-Licensed Personnel Records (NPR) Conduct new hire onboarding — collect, verify, and file all required documentation before a caregiver's first shift Track credential expirations including licenses, CPR/First Aid certifications, TB screenings, and background checks Schedule and coordinate annual background check renewals and OIG exclusion list checks Conduct quarterly personnel file audits and document findings Enforce "Clear to Work" policy — ensure no caregiver is scheduled until their file is 100% complete Maintain training records, in-service hour logs, and competency evaluation documentation Prepare for and support ISDH survey readiness at all timesBilling and Payroll Support:
Prepare payroll data for processing Assist with Medicaid claims submission and follow-up Track private-pay invoicing and accounts receivable Maintain basic financial records, receipts, and expense documentationQualifications:
Required:
Minimum 2 years of experience in home care, home health, or healthcare office administration Knowledge of Indiana Medicaid waiver programs and ISDH regulatory requirements Experience maintaining employee personnel/HR files and compliance documentation Strong organizational skills with exceptional attention to detail Proficient in Microsoft Office (Word, Excel, Outlook) and basic office technology Excellent verbal and written communication skills Professional phone presence and customer service orientation Ability to work independently, prioritize tasks, and manage multiple deadlines Must pass a criminal background check and drug screening Valid Indiana driver's license and reliable transportationPreferred:
CNA, HHA, or healthcare certification Experience with EVV systems (HHAeXchange, Sandata, or similar) Experience with home care scheduling software (AxisCare, CareSmartz360, WellSky, or similar) Familiarity with Medicaid billing and claims processes Bilingual (English/Spanish) is a plus Associate's or Bachelor's degree in Healthcare Administration, Business Administration, or related fieldWhat We Offer:
