Since its formation in 2003, R.O.I. has been involved in the acquisition, lease, and sale of over 6,500 properties. This role requires someone who enjoys problem-solving, empowering others, and keeping transactions running smoothly. Duties and Responsibilities:
Provide internal support to the R.O.I. Team, including Asset Managers, IC Members, and clients; Manage transaction administration from initiation through closing, including opening escrows and proactively tracking all transaction milestones, deadlines, and required actions; Coordinate with agents, escrow, title, lenders, clients, and third-party vendors to ensure smooth and timely closings; Review and analyze contracts, leases, loan documents, title reports, and related closing documentation; identify and flag potential issues; Draft offers, counteroffers, and other contract documentation on behalf of Asset Managers; Track and manage key transaction components, including earnest money deposits, inspection deadlines, loan status updates, and compliance requirements; Organize, maintain, and audit transaction files and records across platforms to ensure accuracy, accessibility, and compliance; Manage and update databases and CRM systems (including APTO/Rethink), improving workflows and ensuring data integrity; Maintain internal and external listing communications, including status reports, activity tracking, and audit functions; Prepare MLS listings and ensure all property details, disclosures, and supporting documents are complete and accurate; Support listing presentations and marketing efforts, including coordination and scheduling of marketing materials and activities; Coordinate property intakes, inspections, utilities, insurance, maintenance, and service requests with vendors and stakeholders; Create and implement systems, templates, and SOPs to support transaction processes and IC Agent operations; Monitor calendars and notify relevant parties of upcoming deadlines and key dates; Prepare weekly escrow/client update reports and compile data on transaction progress; Manage email inboxes, including responding to communications, maintaining subscriptions, and ensuring timely payments and accurate account information; Maintain compliance tracking, including for court-appointed transactions, ensuring all legal requirements and deadlines are met; Identify opportunities to improve processes, reduce risk exposure, and enhance operational efficiency; Oversee inventory and logistics related to listings (e.g., signage, lockboxes); Participate in team meetings and report on transaction progress and audit findings; Assist with closing preparation, final transaction review, and post-closing file organization; Perform other duties and responsibilities as needed. Qualifications & Skills:
2+ years of experience in real estate transaction coordination, administrative support, or a related field. Familiarity with transaction management systems, specifically SkySlope and CRM platforms. Proficiency in Microsoft Outlook and Windows Operating Systems, with strong general computer skills. Experience handling transaction paperwork, disclosures, and compliance documentation. Highly organized, detail-oriented, and capable of managing multiple deadlines simultaneously. Excellent written and verbal communication skills, with the ability to interact professionally with agents, clients, and vendors. Strong problem-solving skills and ability to proactively track transactions to ensure smooth closings. Real estate license preferred but not required. Ability to work both independently and collaboratively in a fast-paced environment. Benefits:
