This role is the first point of contact for visitors and incoming calls while also supporting purchasing, scheduling, safety documentation (SDS), truck readiness paperwork, and project documentation for R D tax credit reporting. The ideal candidate is professional, detail-oriented, and comfortable balancing front office responsibilities with administrative support for operations and production teams. Key Responsibilities Answer and route phone calls; greet visitors and manage the front lobby area Create and distribute weekly schedules for shop/fabrication/field teams Order materials, supplies, and equipment; communicate with vendors and track orders Create and maintain SDS books and safety/compliance documentation Maintain required paperwork and equipment readiness for company trucks Collect and input project documentation for R D tax credit submissions Maintain organized filing systems and support operational reporting and documentation Qualifications 2+ years experience in office administration, operations support, or a similar role Strong organization and time management skills with attention to detail Professional communication and customer service skills Proficiency in Google Sheets and Google Docs Proficiency in Microsoft Word , Excel , and PowerPoint Comfortable managing email communication professionally and consistently Experience in fabrication, construction, production, or manufacturing environments is a plus Familiarity with purchasing, safety documentation, or fleet paperwork is a plus
