Pay Range:

Summary:
Reporting to the Associate University Registrar, the International Student & Records Coordinator is a critical member of a cross-functional team responsible for ensuring the accuracy, integrity, and compliance of institutional and student academic records. This role drives operational excellence by managing complex processes, interpreting policy, and aligning systems with the strategic priorities of the Office of the Registrar. Serving as the Primary Designated School Official (PDSO), this position leads all aspects of F-1 visa compliance and international student support, ensuring adherence to federal regulations while delivering a high-quality student experience. The Coordinator plays a key role in safeguarding institutional compliance, optimizing processes, and providing expert guidance to students, faculty, and staff.
Required Job Qualifications:
Minimum of a Bachelors degree required. Minimum 2-4 years experience in higher education.
Preferred Job Qualifications:
Experience working in a university environment particularly in a Registrar's Office setting preferred. Experience with Student Information Systems and the ability to develop process and utilize technology to increase efficiencies.

Job Responsibilities:
1. Lead Federal Compliance & International Student Services - serve as Primary Designated School Official (PDSO) for SEVP, ensuring full institutional monitoring and compliance with all federal regulations governing F-1 students. This includes managing records in SEVIS, preparing and issuing I-20s to students, and managing the OPT process for graduates. Act as the university's subject matter expert on immigration policies, proactively interpreting regulatory changes and advising stakeholders. Comply with federal regulations, including appropriate record-keeping, to guide F-1 students through all stages of international student life cycle. 2. Drive Regulatory Awareness & Strategic Guidance - monitor evolving federal guidance and global developments impacting international students. Translate complex regulations into actionable guidance for students, faculty, and university leadership. 3. Enhance International Student Experience - design, implement, and continuously improve a comprehensive international student orientation program. Maintain up-to-date resources and provide proactive support, including crisis response and referrals to appropriate campus services. 4. Manage Credentialing & Verification Processes - process transcripts, enrollment and degree verifications, and licensing documentation with precision and efficiency. Partner with external agencies, including FCVS and licensing boards, to ensure timely and accurate credentialing. 5. Customer Service and Access to Services - Provides information to students, staff and faculty related to all functions within the Office of the Registrar, such as registration, grading, academic transcripts, enrollment/degree verifications, credentialing requests, leave of absence/withdrawal processes, demographic changes, the Family Educational Rights and Privacy Act of 1974 (FERPA), graduation, diplomas, adding and dropping courses, and transfer credit. Responsible for responding to walk-in, phone and electronic mail inquiries. 6. Document Management, Retention and Security - Manages the storage, security, accuracy and preservation of all student academic records in accordance with FERPA, American Association of Collegiate Registrars and Admissions Officers (AACRAO), and Rush University policies. Ensures timely processing of all documents received. Assists in the preparation of documents to be imaged and appropriately secured according to Rush University record retention policies. Files and scans student records, as appropriate. 7. System Proficiency - Navigates University's student information system and University document imaging applications to complete required tasks. Responsible for interfacing with outside agencies (such as National Student Clearinghouse, State licensing agencies, accrediting bodies, health care organizations, etc.) to comply with requests for information. 8. Demographic Record Updates - Processes demographic changes for current and former students (address and name changes) and provides notification to the appropriate University community. Verifies emergency contact information managed by the student in self-service has been submitted correctly. 9. Effective Communication - Informs students of any holds on their accounts that prevent the issuance of a student's academic record (immunization, Bursar, etc.) and directs them on the appropriate office/department for assistance. Works with the Office of the Registrar, Student Business Office, and other departments as necessary to assist and resolve. Assists students and faculty in navigating the tasks that must be completed via the University portal (i.e. searching for sections, registration, grading, advisee management, unofficial transcripts, degree audits, etc.) 10. Serves as back-up for registration, Leaves of Absence/Withdrawal requests, Transfer Credit, grade changes, FERPA Releases and Restrictions requests. 11. Considers student complaints regarding admissions and registrations and implements processes for resolution including escalating complex issues to immediate supervisors. 12. Assists with incoming inquiries in relation to identification badges for Rush University students and visiting students and directs them to appropriate office. 13.
