Policy Development Full Job Description Regulatory Enforcement Specialist Summary:
The Regulatory Enforcement Specialist is responsible for enforcing support regulatory adherence, policy enforcement, and risk management initiatives. This role plays a crucial part in ensuring the organization operates within legal and ethical guidelines by assisting with compliance documentation, audits, training, and reporting . This position is instrumental in fostering a culture of accountability, integrity, and excellence throughout all behavioral health programs.
Regulatory Enforcement Specialist Essential Duties and Responsibilities:
Regulatory Enforcement Specialist Documentation Training:
- Assist in maintaining compliance policies and procedures.
- Support internal audits to ensure adherence to company and industry regulations.
- Maintain accurate compliance records, reports, and documentation.
- Provide guidance on proper record-keeping, ensuring all documentation aligns with 245G/245I/245F regulatory requirements.
- Conduct follow-up sessions with staff to address gaps and reinforce best practices in documentation.
- Help coordinate compliance training sessions for employees.
- Provide general support for compliance-related inquiries.
Regulatory Enforcement Specialist Auditing Client Files:
- Perform routine and thorough audits of client files to identify discrepancies, missing information, or non-compliance with state standards.
- Prepare detailed audit reports with actionable recommendations for correcting deficiencies and improving processes.
- Monitor compliance trends across client files and share insights with leadership to implement preventative measures.
Regulatory Enforcement Specialist Policy and Procedure Development:
- Collaborate with leadership and program staff to ensure policies and procedures are practical, clear, and enforceable.
- Regularly review policies to reflect updates in state and federal regulations or emerging best practices.
- Communicate changes to policies and procedures effectively to all staff members.
Regulatory Enforcement Specialist Investigations:
- Assist with internal investigations into compliance-related issues, such as documentation errors, breaches of policy, or client concerns.
- Collaborate with relevant staff and departments to gather information and identify root causes of non-compliance.
- Contribute to corrective action plans to resolve issues and prevent recurrence, ensuring alignment.
- Maintain confidentiality and professionalism during all investigative processes.
Regulatory Enforcement Specialist General Compliance Oversight:
- Serve as a point of contact for regulatory agencies and external auditors, coordinating responses and ensuring successful inspections.
- Monitor compliance with
HIPAA, 42 CFR
Part 2, and other applicable laws to protect client confidentiality.
- Participate in performance improvement initiatives,
- Collaborate with clinical/treatment directors and leadership to ensure the integration of compliance practices across all programs.
- Adherence to all 245G/245F/245I compliance and training standards.
- All other duties as assigned
Personnel Supervised :
None Regulatory Enforcement Specialist Minimum Qualifications:
1. Must be at least 18 years old 2. Bachelor's degree in healthcare administration, social work, or a related field 3. Extensive knowledge of 245G and 245F program standards, as well as compliance regulations related to SUD treatment. 4. Proven experience in compliance management, auditing, and policy development. 5. Strong organizational and analytical skills, with a detail-oriented mindset. 6. Exceptional communication and leadership abilities, including experience delivering training sessions. 7. Proficiency in Microsoft Office and compliance-related software. 8. Ability to handle sensitive information with discretion and professionalism. 9. Comply with all 245G/245I/245F, MN Statute 148F.165, other governance statutes as applicable & all program policies and procedures including Client Needs, and acknowledge understanding of Client Rights, per MN Rule 31, part 4747.1500. 10. Strong knowledge of medical protocols, infection control procedures, and compliance standards (e.g., HIPAA, 42 CFR Part 2). 11. Must be able to demonstrate flexibility in work hours and responsibilities to accommodate team members' scheduling needs or unexpected situations.
