Job Description

Documentation and Compliance Administrator The Company is seeking a Documentation and Compliance Administrator to join their engineering team in an exciting design and manufacturing environment. The individual provides administrative and technical support across engineering documentation control, regulatory substance compliance and export classification. This role serves as the primary point of contact for coordinating the distribution of engineering change notices and technical publications as well as driving customer-requested regulatory compliance (REACH, PFAS, AD-DSL, Prop 65, UV 328, and other emerging substance regulations) through the supply chain, maintaining Safety Data Sheets (SDS) and managing export classification codes. This position reports to the Engineering Manager - Sustaining and works closely with Purchasing, Quality, Sales, and external suppliers. Responsibilities include but are not limited to: Regulatory Substance Compliance (Primary) Monitor global regulatory changes and upcoming restrictions (e.g., ECHA SVHC Candidate List updates, state-level PFAS bans, TSCA amendments) to ensure the organization remains proactive and informed. Drive customer-requested substance compliance (REACH, PFAS, AD-DSL, Prop 65, UV-328, Berry Amendment, and other evolving regulations) by coordinating with suppliers to obtain compliance statements, material declarations, and certifications. Engage suppliers to collect Full Material Declarations (FMDs), certificates of compliance, and
REACH/PFAS
status updates; track supplier responses and escalate non-compliance. Prepare and maintain substance compliance declarations for customers (e.g., Airbus, Boeing, Bombardier) by exploding bills of materials and compiling data into required declaration formats. Maintain a substance compliance database/register tracking regulated substances across product lines (life vests, rafts, anti-exposure suits, heli vests, etc.). Support advocacy and internal awareness by communicating regulatory updates to relevant departments and participating in industry webinars and information sessions (e.g., CDX, IAEG). Safety Data Sheet (SDS) Management Maintain, organize, and update the company's SDS library for all chemicals and materials used in manufacturing operations. Request and collect current SDS from suppliers; verify accuracy and regulatory compliance (GHS/CLP format). Ensure SDS availability to production, quality, and safety personnel as required by OSHA Hazard Communication Standard and customer requirements. Export Classification & Declarations Assign and maintain Schedule B classification codes for all exported products and components. Prepare export compliance documentation, including Export Control Classification Determinations (ECCD) as requested by customers (e.g., Airbus). Support compliance with applicable export control regulations (EAR, ITAR as applicable) by maintaining accurate classification records and supporting license determination activities. Coordinate with Sales and Shipping to ensure proper export documentation accompanies all international shipments. Engineering Change Notice (ECN) & Technical Publications Distribution Process and distribute Engineering Change Notices (ECNs) to all affected internal departments and external stakeholders per established procedures. Review applicable change notices for new and revised engineering and supplier documentation to ensure affected technical publications are identified and updated. Coordinate the distribution of technical publications , including service bulletins, technical manuals, Instructions for Continued Airworthiness (ICAs), and other controlled documents to customers, regulatory authorities, and internal users. Maintain a controlled document distribution list and log to ensure traceability of all issued publications and revisions. Assist in maintaining the technical publications development and delivery schedule to ensure coordination with engineering and production milestones.
Requirements:
High school diploma or equivalent; Associate's degree in a technical, business, or scientific discipline preferred. 2+ years of administrative, compliance, or document control experience, preferably in a manufacturing or aerospace environment. Proficiency in Microsoft Office Suite (Access, Word, Excel, PowerPoint, SharePoint, Outlook). Strong organizational skills with excellent attention to detail. Effective written and verbal communication skills. Ability to manage multiple priorities in a deadline-driven environment.
Preferred:
Familiarity with substance regulations such as REACH, PFAS, Prop 65, AD-DSL, RoHS, or similar frameworks. Experience with Safety Data Sheet management or GHS/CLP classification. Knowledge of export control regulations (EAR/ITAR) and Schedule B/HTS classification. Experience with engineering change management or document control systems. Background in aerospace, defense, or textile manufacturing. Knowledge of
AS9100D, FAA
Part 21/Part 145, or Berry Amendment compliance is a plus
Working Conditions:
Office-based role at the Trenton, NJ facility. Occasional interaction with production floor, suppliers (via phone/email), and customers.
Salary:
Commensurate with experience
Pay:
$45,000.00 - $55,000.00 per year
