Family Service and Records Specialist Fundamentals Child Development Center, LLC 209 N Auburn Farmington, NM 87401 Family Service and Records Specialist If you love organization, systems, and supporting meaningful work behind the scenes, this role is for you. Position Summary The Family Service & Records Specialist plays a critical role in ensuring the integrity, accuracy, and compliance of all organizational records and documentation systems. This position supports daily operations by managing data systems, maintaining regulatory compliance, overseeing billing processes and tuition contract management, and ensuring accurate and up-to-date staff records in alignment with state, federal, and accreditation standards. Success in this role means maintaining organized, audit-ready systems that support high-quality programming, accurate financial processes, strong communication with families and staff, and efficient operational workflows. Key Responsibilities Records & Compliance Management Maintain accurate, up-to-date, and audit-ready records (paper and digital) Ensure compliance with licensing, NM PreK, CACFP, FOCUS, and accreditation standards Monitor documentation for accuracy and completeness, address discrepancies Maintain confidentiality and secure storage of all sensitive records Data & Administrative Operations Enter, manage, and audit data across systems (enrollment, billing, compliance tracking) Compile and verify data for reporting and operational needs Support billing, invoicing, and payment tracking processes Develop and improve systems, forms, and workflows for efficiency Communication & Collaboration Communicate with families, staff, and agencies regarding documentation and requirements Support staff in understanding and maintaining proper documentation practices Assist leadership with reporting, audits, and compliance needs Leadership & Oversight Support supervision of support staff, student workers, or volunteers Develop systems that improve workflow, accuracy, and compliance Monitor daily operational compliance and adherence to policies Professional Responsibilities Attend staff meetings, trainings, and professional development Stay current on regulations and best practices Perform additional duties as assigned What We're Looking For Strong attention to detail and organizational skills Ability to manage multiple systems and priorities Professional, clear communication skills Integrity and commitment to confidentiality Collaborative mindset and team-oriented approach Ability to problem-solve and improve systems
Qualifications Minimum Requirements:
High school diploma or equivalent Relevant experience in administrative, records, or program support roles Ability to meet NM licensing requirements CPR/First Aid certification (or willingness to obtain within 90 days) Successful background check
Preferred:
Associate degree in Early Childhood, Business Administration, or related field 3-5+ years of experience in program administration, records, or compliance systems Experience with early childhood regulations and documentation systems Compensation & Schedule Full-time, hourly position 7:30-1:30, every other Friday 12:00-5:30 $20.50-$23.75/ hour Work Environment & Physical Requirements Combination of desk-based and active work May require standing, walking, bending, and occasional lifting Work occurs in office and classroom environments Possible exposure to common childhood illnesses Our Culture We believe in: Supporting educators and staff as professionals Strong systems that allow classrooms to thrive Collaboration, communication, and continuous improvement Creating a positive, organized, and supportive work environment How to
