About the Role We are looking for a sharp, highly organized, and proactive Corporate Administrator to serve as a critical operational backbone of our growing organization. This is not a typical admin role — you'll be working at the intersection of compliance, logistics, insurance, licensing, and executive support in a fast-paced, acquisition-driven environment. What You'll Do :
Executive & Administrative Support Provide comprehensive administrative support to senior leadership, including calendar management, correspondence, document preparation, and task coordination Manage and reconcile corporate expense cards on behalf of leadership, ensuring accurate coding, timely submission, and compliance with company policies Coordinate group travel bookings including flights, hotels, ground transportation, and itineraries for team events, conferences, and company meetings Serve as a reliable point of contact for internal and external stakeholders, handling communication with professionalism and discretion
Insurance & Claims Management:
Own the end-to-end claims management process, including intake, documentation, follow-up, and resolution coordination Prepare and maintain insurance packets for drivers, ensuring all required documentation is current, accurate, and readily accessible Manage Certificates of Insurance (COI) requests across the organization, responding promptly to internal and external requests and maintaining an organized record system Liaise with insurance carriers, brokers, and internal teams to ensure coverage is appropriate and documentation is compliant
Licensing & Regulatory Compliance:
This is a cornerstone responsibility of the role. You will be expected to deeply understand Vanterra's corporate structure — including our subsidiaries, DBAs, and acquired entities — in order to obtain, renew, and maintain contractor and business licenses across multiple states and jurisdictions Track license expiration dates, renewal requirements, and jurisdiction-specific documentation needs to keep the organization fully compliant at all times As Vanterra continues to grow through acquisitions, proactively onboard new entities into the licensing framework and manage the increased volume with precision Build and maintain relationships with licensing boards, municipalities, and state agencies as needed
DOT & Fleet Compliance:
Maintain working knowledge of DOT regulations and ensure company processes align with federal and state requirements Support driver qualification file management, DOT recordkeeping, and audit readiness Assist in managing accident reporting processes, including proper documentation, notifications, and coordination with insurance and leadership in the event of a vehicle incident Ensure driver compliance records, insurance packets, and fleet-related documentation are up to date and organized
General Corporate Administration:
Maintain organized filing systems (digital and physical) for corporate documents, contracts, licenses, and compliance records Support onboarding and offboarding processes as they relate to administrative, compliance, or credentialing needs Assist with special projects, due diligence support for acquisitions, and cross-departmental coordination as needed Identify opportunities to streamline administrative processes and improve efficiency across the team
What You Bring:
3+ years of experience in an administrative, operations, or compliance-focused role; experience in a multi-entity or franchise environment is a strong plus Demonstrated experience with insurance administration, claims coordination, or COI management Familiarity with contractor licensing processes across multiple states is highly preferred Working knowledge of DOT compliance and fleet/driver documentation requirements Strong proficiency with expense management tools and corporate card platforms Exceptional organizational skills with the ability to manage competing priorities without dropping the ball High attention to detail and a process-oriented mindset Strong written and verbal communication skills Ability to learn and navigate corporate structures quickly — understanding who's who and how entities relate to one another is essential in this role A proactive, ownership-driven attitude — you don't wait to be asked twice
