Compliance Administrator Location:
Tennessee (Hybrid - 1 Day Onsite / 4 Days Remote) Schedule:
37.5 Hours per Week Travel:
Occasional statewide travel required; mileage or rental car expenses reimbursed per travel policy. Position Overview We are seeking a highly organized and detail-oriented Compliance Administrator to support compliance operations, monitoring activities, documentation management, and site review coordination. This role requires strong communication skills, the ability to manage multiple priorities, and experience maintaining audit-ready records while working with internal teams and external partners. Key Responsibilities Compliance Monitoring & Site Review Coordination Maintain accurate monitoring contact information, including names, roles, email addresses, and phone numbers. Coordinate and maintain monitoring schedules to ensure timely completion of compliance reviews. Organize site review logistics, including meeting schedules, agendas, attendees, locations, virtual meeting links, and required documentation. Support both virtual and in-person compliance reviews through preparation, documentation, and follow-up activities. Monitor and respond to compliance-related communications and inquiries in a timely manner. Manage and distribute pre-review questionnaires and related documentation. Track required document submissions and provide follow-up reminders as needed. Prepare customized agendas and supporting materials for compliance reviews. Documentation & Reporting Review contracts and supporting documentation to verify compliance requirements. Maintain accurate records of monitoring activities, findings, corrective actions, and follow-up tasks. Document meeting outcomes and prepare detailed notes for reporting purposes. Upload and organize compliance documentation within designated document management systems. Collect and review supporting fiscal and program documentation prior to compliance reviews. Generate reports and maintain tracking tools to support leadership visibility and decision-making. Contract Compliance & Corrective Action Tracking Review active contracts to ensure compliance with policies, procedures, and program requirements. Track compliance issues and initiate follow-up actions as necessary. Monitor corrective action plans (CAPs) and document completion status. Request, collect, and maintain required documentation from stakeholders. Organize and maintain compliance-related files, reports, training materials, and meeting records. Ensure all documentation is audit-ready and easily accessible. Administrative & Program Support Coordinate compliance-related meetings, webinars, and training sessions. Schedule meetings, send invitations, manage attendance, and provide logistical support. Enter and maintain accurate information across multiple databases and tracking systems. Support special projects and administrative initiatives as assigned. Assist with presentations, reports, and communication materials for leadership and stakeholders. Respond professionally to internal and external requests while meeting established deadlines. Required Qualifications Experience in compliance monitoring, contract administration, grants administration, audit support, program coordination, or related fields. Strong organizational skills and attention to detail. Experience maintaining records and documentation across multiple systems. Excellent written and verbal communication skills. Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint. Ability to manage multiple priorities, deadlines, and follow-up activities simultaneously. Ability to work independently with minimal supervision. Strong problem-solving and critical-thinking skills. Preferred Qualifications Experience with compliance reviews, monitoring activities, or audit preparation. Experience coordinating meetings, training sessions, site visits, or multi-stakeholder projects. Experience using SharePoint, REDCap, Caspio, or similar database/document management systems. Familiarity with corrective action plan (CAP) tracking and compliance reporting. Experience supporting grant-funded programs or contract compliance activities. Pay:
