In this role, you aren't just managing a fleet; you are managing the first impression our customers have when they trust us with their vehicles. You will be responsible for the seamless coordination of our service loaner fleet, ensuring every client stays mobile and satisfied while their vehicle is in our care. Key Responsibilities:
First Class Greetings:
Meet and greet service customers promptly, acting as a concierge to guide them through the loaner process.
Effective Communication:
Listen to customer needs, handle inquiries/complaints with tact, and manage high-volume incoming calls.
Proactive Outreach:
Send daily reminders to upcoming clients regarding required documentation to ensure a frictionless check-in experience.
Incident Management:
Assist in accident reporting, insurance claims, and deductible collections should a loaner vehicle be damaged.
Fleet Staging:
Manage the daily "staging" of vehicles, ensuring loaners are cleaned, fueled, and parked in designated areas by 11:00 AM.
Documentation & Compliance:
Execute loaner contracts with 100% accuracy, verifying driver's licenses, insurance, and credit card information.
Inventory Control:
Perform meticulous vehicle walk-arounds upon check-out and return; track stock numbers, keys, and unit utilization.
Data Management:
Utilize TSD software and Excel spreadsheets to track RO numbers, vehicle status, and fleet swaps.
Vendor Coordination:
Partner with outside body shops and third-party rental agencies to ensure constant vehicle availability.
Requirements:
At least 1 year of experience in a customer-facing role (Automotive or Rental Car experience is a major plus). High school diploma or equivalent. Proficiency in MS Office (Excel/Word) and the ability to quickly learn dealership management software (TSD). Exceptional verbal and written skills; you can de-escalate a situation with a smile. A valid driver's license and a clean driving record are essential. You're the type of person who enjoys keeping "the gears turning" and ensuring every car is exactly where it needs to be.
