Job Description

Primary Purpose Provide high-level, confidential support to the Director of Finance and Accounting. This role is the "command center" of the business office, serving as the primary point of contact for campuses, auditors, vendors, and other departments. Manage deadlines, assist with reporting, and ensure the district's financial operations run with absolute transparency and efficiency.
Qualifications Education/Certification:
High School Diploma or equivalency required. Associate's degree in Business Administration, Accounting or related field preferred.
Experience:
3-5 years of administrative experience, ideally in a school district (K-12), municipal government, or a highly regulated financial environment.
Technical Skills:
Advanced in Microsoft Excel including formulas. Experience with ERP software (e.g., Skyward, Tyler Technologies, Frontline, etc.). Experience with Google Suite.
Special Knowledge/Skills:
Ability to use office technology. Works well with others and communicates effectively in written and verbal correspondence. Works independently and self-motivated. Ability to handle sensitive data, including personnel and other confidential data. Superior attention to detail. Ability to analyze reports and numbers and recognize patterns. High-level critical thinking skills. Adaptable and able to pivot between routine filing and "emergency" audit requests. Knowledge of general accounting principles and practices. Reliable and prompt. Major Responsibilities and Duties 1. Executive Coordination & Communication Receive incoming calls, answer questions, and direct calls to the appropriate personnel. Manage the Director's calendar, prioritizing urgent fiscal deadlines (e.g., tax levy filings, TEA deadlines). Act as a liaison between the Finance Office and other district departments, ensuring clear communication of financial policies. Run and proofread board reports, financial presentations, and official correspondence. Contact district personnel and outside entities to correct or obtain information needed to resolve problems. 2. Financial & Budgetary Support Coordinate the documentation process for annual external audits. Monitor departmental budget lines and process purchase orders (POs) and expense reimbursements. Help maintain the district's public-facing financial documents. Scan and maintain appropriate documentation of accounting transactions. Enter requisitions as needed. 3. Operations & Compliance Organize and maintain official financial records, ensuring compliance with state records retention laws. Assist with the monthly, quarterly and annual reports. Update and maintain business office documentation. 4. Additional Responsibilities Assist other finance department personnel as directed. Meet established deadlines. Maintain accurate and auditable records. Maintain confidentiality of information. Exemplify high standards of ethical conduct according to District Policy. Support administrative policy. Represent the school system to the community in a positive professional way. Maintain a sincere, friendly attitude toward staff, visitors and patrons to ensure communication. Supervisory Responsibilities None.
Working Conditions Mental Demands/Physical Demands/Environmental Factors:
Requires repetitive hand motions, prolonged use of computer, occasional prolonged hours. Work in a busy and active environment; maintain emotional control in stressful situations.
