Under general supervision of the Assistant Director for Business Services, the Business/Administrative Associate I (Project Finance Coordinator) maintains efficient business processes and departmental accounting records for construction and remodeling projects administered by Planning, Sustainability and Project Management (PSPM) at the University of Illinois Chicago, prepares financial statements, and analyzes and monitors business operations, revenues and methods utilized by PSPM throughout the capital delivery process. Duties & Responsibilities:
Review and process all obligation and expenditure transactions for capital and non-capital projects, ensuring that all outstanding expenses are paid promptly. Documents to be included are miscellaneous obligations, receiving reports, contractor payment applications, service requisitions, miscellaneous invoice vouchers, etc. Review and process all contract documents for projects. Documents to be included are contracts, change orders, requisitions, purchase orders, etc. Assist with the preparation of financial statements, management reports, and project closeouts for capital improvement projects financed from state, federal, gift, grant, auxiliary and other fund sources. Process various accounting forms required for the activation of new capital and non-capital projects, continuation of existing projects, and closure of project funds. Assist with administration, monitoring, review, and reconciliation of financial transactions and statements for accuracy, completeness, and conformance with University policy, state laws, etc. Maintain and upgrade when required a level of competency in various systems utilized by the University including Banner, FCPWeb, FMWeb, PRZM, iBuy, Emburse Enterprise (formerly Chrome River), MyUIFinancials, FABWeb, EDDIE, and Document Direct. Perform other related duties and participate in special projects as assigned by Assistant Director. Minimum Qualifications Required:
Bachelor's degree in business administration, management, or a field related to the position. Two (2) years of professional business, financial, and/or managerial work experience. Experience in project lifecycle financial management, including the initiation, tracking, reconciliation, and closeout of capital and non-capital projects. Experience with financial Enterprise Resource Planning (ERP) systems used in large, complex organizations—such as higher education, government, healthcare, or corporate settings (e.g., Banner, Oracle, SAP, Workday). Experience with contract and procurement documentation: Preparing and processing documents such as purchase orders, change orders, and requisitions, ideally in a complex or regulated environment. (NOTE:
A Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.) Preferred Qualifications:
Knowledge of project life cycle financials, as applied to project management, including budgeting, cost tracking, expense reconciliation, and financial reporting across the project lifecycle. Experience using Microsoft Office products, computer operating systems and spreadsheet programs. Familiarity with iBuy and Banner (and its administrative forms). Strong analytical/problem-solving skills and excellent oral & written communication skills. Master's degree in accounting, finance, business administration, or related field. Accounting and financial analysis experience, preferably in a large, complex University or not-for-profit setting. Previous experience and/or demonstrated capability to work effectively in a cooperative team environment that requires frequent contact with various internal and external constituencies.
