Job Description

Summary:
This position is responsible for the analysis and interpretation of grant financial contract terms and conditions, accounting and budgetary reporting functions related to the financial management of sponsored projects. This position provides project members and administrative/other departments with guidance on financial, administrative and fiscal policy issues arising during the administration and closeout of grant-funded projects. Works closely with the Grant Specialist and finance team members, along with project staff and leadership team. This position will foster teamwork and collaboration, with demonstrated organization by applying experience in the review of grant agreements and ensuring compliance with federal law, state law and MyMichigan Health policies.
Responsibilities:
(50%)
  • Collect and process reimbursement requests for all grant expenses properly submitted by project team staff. Track all expenses against project budgets and provide feedback to team regarding fund balance for entirety of the period of performance. Compile supporting documentation which evidences expenses for compliance and audit purposes. (25%)
  • Collaborate with Grant Specialist to create updated financials for each required grant report based on monthly tracking and reimbursement requests. (25%)
  • In consultation with Corporate Controller and Compliance, create processes to appropriately document grant activities for audit purposes.
OTHER DUTIES AND RESPONSIBILITIES
Effectively balances multiple projects simultaneously to ensure timely responses and accountability to current and potential funders. Monitor grant expenses of awarded grant projects for the MyMichigan Health Foundation. Provide comprehensive financial monthly reporting. Conduct project kick-off meetings for new awards with key project staff and meet with them in a routine cadence to summarize actual expenditures and create financial projections. Prepare monthly, semi-annual, annual and project closeout financial reports per funder guidelines. Assist with monthly account certifications, process vendor invoices, purchase orders and cost transfers for multiple awards. Prepare and revise grant budgets as necessary. Create and maintain payroll allocations for project staff working on designated grants. Collaborate with Grant Specialist to prepare grant modification requests. Maintain complete and accurate financial information for all grants. Occasionally help manage the grant submission process (pre-award) including, but not limited to: filling out forms, preparing letters, uploading proposal documents into sponsor portals, reviewing proposals for conformity with Federal, State, and Sponsor guidelines. All team members are required to work evenings or weekends to support special events or to meet project deadlines, but most generally these dates are known well in advance. Other duties as assigned.
Certifications and Licensures:
N/A Required Education:
Bachelor's Degree in Healthcare Administration, Accounting/Finance or similar area of study. One to two years working experience with a non-profit organization or Foundation preferred.

EXPERIENCE, TRAINING AND SKILLS
Two years of experience in either grant management, Fund Development, or similar type capacity. Experience using Raiser's Edge is preferred, but not required. Independent worker and self-directed required. This position requires consistently exercising discretion and judgment in performing work which is varied in nature. Strong background in Excel and database applications with strong keyboarding skills. Must be detail oriented. Strong interpersonal and relationship skills. Ability to maintain confidentiality. Ability to multitask, prioritize work, exercise sound independent judgment and problem solve. PHYSICAL/MENTAL REQUIREMENTS AND TYPICAL WORKING CONDITIONS
Exposure to stressful situations, including those involving public contact, as well as, trauma, grief and death. Able to wear personal protective equipment that includes latex materials or appropriate substitute if required for your position. Is able to move freely about facility with or without an assisted device and must be able to perform the functions of the job as outlined in the job description. Overall vision and hearing is necessary with or without assisted device(s). Frequently required to sit/stand/walk for long periods of time. May require frequent postural changes such as stooping, kneeling or crouching. Some exposure to blood borne pathogens and other potentially infectious material. Must follow MyMichigan Health bloodborne pathogen and TB testing as required. Ability to handle multiple tasks, get along with others, work independently, regular and predictable attendance and ability to stay awake. Overall dexterity is required including handling, reaching, grasping, fingering and feeling. May require repetition of these movements on a regular to frequent basis.
