Job Title:
Project Accounting Coordinator Job Description The Project Accounting Coordinator provides comprehensive accounting support to project managers throughout the entire project lifecycle, from start-up through closeout. This role focuses on accurate and timely billing, maintaining project financial data in the ERP system, and managing key compliance requirements. The coordinator partners closely with project managers and customers, supports the resolution of billing and compliance issues, and contributes to continuous improvement initiatives within the accounting function. Responsibilities + Provide accounting support to project managers from project initiation through project close, ensuring financial activities align with project requirements and timelines. + Prepare accurate monthly billing packets based on customer requirements, terms and conditions, and contract provisions, ensuring all necessary supporting documentation is included. + Submit completed billing packets to customers by specified due dates, upload documentation into relevant customer or internal portals as needed, and post billings to the ERP system. + Maintain and update the ERP system with project budgets, contracts, billing information, and other project data as directed by project managers. + Manage project compliance items, including Project Insurance Certificates, enrollment in appropriate Wrap-Up Insurance Programs when applicable, bonds, Project Preliminary Notices, and UCC filings. + Assist in resolving customer billing disputes by researching issues, coordinating with project managers and other internal stakeholders, and providing clear documentation to support resolutions. + Support the resolution of compliance-related issues by ensuring required documentation is complete, current, and properly recorded. + Cultivate strong, cooperative working relationships with internal and external customers that reflect and support the company's core values and consistently meet or exceed customer expectations. + Make decisions in an attentive and safe manner to protect the health and safety of self and others while performing daily responsibilities. + Utilize LEAN concepts and other continuous improvement methodologies to identify opportunities to improve efficiency in accounting operations, processes, and activities. + Promote and model the company's mission and vision in daily work, interactions, and decision-making. + Partner closely with project managers and other stakeholders to support project accounting activities, including accounts receivable, invoicing, month-end processes, and billing. + Support contract time-and-material (T&M) billing by working with labor rates, tool rates, material rates, and related contract terms as part of the national accounting team. Essential Skills + 1+ years of experience in accounts receivable, billing, or project accounting. + Experience working in the construction industry with either a general contractor or a subcontractor. + Demonstrated experience with project accounting, including AR, billing, and invoicing processes. + Ability to prepare accurate and complete billing packets in accordance with customer requirements, contract terms, and deadlines. + Proficiency in working with ERP systems to enter, update, and maintain project budgets, contracts, and billing information. + Familiarity with managing project compliance items such as insurance certificates, wrap-up insurance program enrollment, bonds, preliminary notices, and UCC filings. + Strong collaboration skills with project managers and other internal stakeholders to support financial and operational project needs. + Ability to investigate and help resolve billing disputes and compliance issues in a professional and timely manner. + Strong attention to detail and organizational skills to manage multiple projects, deadlines, and documentation requirements. + Commitment to safe work practices and consideration of health and safety in decision-making. + Willingness to apply LEAN or other continuous improvement methodologies to enhance accounting processes. Additional Skills & Qualifications + Bachelor's degree is preferred. + Experience with contract time-and-material (T&M) billing, including labor, tool, and material rates. + Experience in electrical contracting or similar construction-related environments. + Comfort working with customer portals and document upload processes. + Strong customer service orientation with the ability to build and maintain positive relationships with internal and external stakeholders. + Interest in ongoing professional development and growth within a national accounting and finance team. Work Environment The Project Accounting Coordinator joins a national accounting and finance team that supports contract time-and-material work, including labor, tool, and material rate structures. Accounting and finance personnel are located across the country, and this role can sit fully remote. Candidates who live near an office may also work from a local facility if desired. Standard working hours are approximately 8:00 a.m. to 4:30 p.m. The organization operates multiple full-service offices in several locations and has a long-established presence as a premier electrical and communications provider serving customers nationwide. Job Type & Location This is a Contract to Hire position based out of Minneapolis, MN. Pay and Benefits The pay range for this position is $22.00 - $30.00/hr.
