5/17/2026 11:59 PM Central SUMMARY The Grant Accounting Analyst role exists to support the financial administration, compliance, and reporting of grant-funded programs by managing grant accounting activities, monitoring expenditures, and ensuring alignment with federal regulations, funder requirements, and institutional policies. The position provides financial analysis, reporting, and operational support to promote accurate stewardship of grant resources and effective administration of externally funded programs. Grant-funded programs maintain financial compliance with federal regulations, funder requirements, and institutional policies, reducing financial and audit risk. Accurate financial reporting, budget monitoring, and reconciliation processes support effective stewardship of institutional and grant resources. Grant expenditures and financial activities are managed in alignment with approved budgets and allowable cost requirements, supporting operational integrity and funding sustainability. Timely financial reporting, reimbursement processing, and grant close-out activities support continuity of grant operations and funding accountability. Cross-functional collaboration between grants administration, program leadership, and financial supports effective management of externally funded programs and institutional initiatives. This position reports to the Accounting Manager.RESPONSIBILITIES
Administrative & Operational Execution (35%) Establish and maintain grant budgets within the accounting system in alignment with approved funding allocations and restrictions Monitor and reconcile grant expenditures against approved budgets and funding allocations Process journal entries, budget transfers, reconciliations, and other grant-related financial transactions Track grant-related accounts receivable, draw-downs, invoicing, and payment activity Maintain and update payroll allocations, time and effort reporting, and supporting financial documentation for grant-funded personnel Prepare and reconcile financial documentation associated with grant close-out activities Maintain accurate financial records and supporting documentation in accordance with institutional and regulatory standards Critical Thinking & Decision-Making (25%) Review expenditures and financial transactions for compliance with federal OMB guidelines, funder requirements, and institutional policies Analyze grant expenditures, salary allocations, and budget variances to identify discrepancies, risks, or corrective actions Interpret grant regulations and funding restrictions to support compliant financial administration Apply analytical judgment to resolve financial discrepancies and recommend appropriate corrective actions Evaluate financial data and reporting accuracy to support audit readiness and sound grant accounting practices Project & Workflow Management (20%) Coordinate recurring grant reporting cycles, reimbursement requests, and financial submission timelines Coordinate grant accounting workflows across the grant lifecycle, including pre-award support, active grants, and close-out activities Support audit preparation and year-end accounting processes through coordination of reconciliations and required documentation Monitor financial deadlines and reporting requirements to ensure timely completion of grant-related deliverables Client/Customer Service & Communication (10%) Collaborate with grant project managers, grants administration, payroll, and finance staff to support compliant grant operations Communicate financial information, reporting requirements, and budget status updates to internal stakeholders Provide guidance regarding grant-related financial processes, documentation requirements, and allowable expenditures Support cross-functional coordination to align grant budgets, expenditures, and program activities Additional Responsibilities (10%) Support development of grant proposal budgets through financial analysis and budget planning assistance Contribute financial insight to support effective stewardship of grant-funded programs Support continuous improvement of grant accounting processes, reporting practices, and financial controls Support grant development activities and institutional initiatives as needed Participate in professional development related to grant accounting, compliance, and regulatory requirements Perform additional duties as assigned in support of departmental and institutional operations Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job.
