About Advokids Advokids is the only non-profit legal advocacy organization in California dedicated to securing the safety and well-being of children and youth in the foster care system. We provide the only free statewide legal helpline, legal trainings and online child welfare legal library for anyone concerned about a child in foster care or at risk of entering care. We advocate for systemic reform of the child welfare system to benefit all children in the state. Advokids fights for every foster child's right to safety, security, and a permanent home. Expectations & Benefits This is a full time, exempt position working 28 hours per week, Monday - Thursday. Advokids supports a healthy work-life balance and has implemented a 4 day workweek for staff. Compensation is $72,000 - $80,000 annually, depending on experience. Advokids offers its employees a monthly Health Care Costs Reimbursement Program, 401k plan, 4 weeks of PTO annually, plus 12 paid holidays. Job Purpose Reporting to the Executive Director of Advokids, the Controller will lead all internal operations and will have the following responsibilities: Finance and Financial Reporting Manage daily accounting operations, including bill payment, donation and grant processing, accounts receivables and payables Manage credit card, bank and brokerage accounts, prepare monthly reconciliations of all accounts Review and prepare contracts and invoices Prepare month-end, quarterly, and year-end financial close Prepare monthly, quarterly, and annual financial statements and management reports Present financial reports to senior leadership and Board Finance Committee Monitor organizational cash flow and liquidity Develop financial dashboards and budget-to-actual reporting Lead annual external audit process and coordinate with auditors, prepare audit schedules and supporting documentation Work with external auditors to facilitate and finalize annual audit of finances and timely filing of state and federal tax returns and related documents Update Guidestar profile each year after audit report issued and 990 filed and when Board membership changes Support Finance and Audit Committee meetings and presentations Budget and Forecasting Lead annual budget process, conduct financial forecasting, and oversee quarterly forecast update Update monthly organizational cash flow Monitor departmental and grant budgets Support long-range financial planning and scenario analysis Grant and Compliance Management Oversee financial compliance for government, foundation, and corporate grants Prepare grant financial reports and reimbursement requests Ensure compliance with federal, state and donor regulations Compliance Oversee and ensure compliance with financial and accounting policies, internal controls, and reporting Ensure compliance with non-profit policies and best practices including document retention, conflict of interest and whistleblower protections Ensure compliance with state and federal laws regarding charitable giving and solicitations including all required filings with the Attorney General and CA Secretary of State Oversee Advokids' compliance with the State Bar of CA as a certified Multiple Activity Provider (MAP) of legal trainings Human Resources Oversee employee onboarding, including new hire paperwork and orientation for staff Upon resignation or termination, assist with employee exit management. Ensure compliance with state and federal employment laws and update employment manual as needed Maintain secure personnel files for staff Manage payroll, including monitoring accumulation and use of PTO, accurate reporting of hourly employee time, transmitting required information to payroll provider Administer employee benefits programs Support development of training programs to educate staff regarding policies and procedures Ensure staff compliance with state-mandated human resource trainings Oversee employee performance protocols Office Management and Building Property Management Manage office spaces, including lease negotiations Oversee building property management Organization and Maintenance of Outside Contracts Maintain Insurance Policies including malpractice insurance Leases Vendor Contracts Information Technology Oversee information technology needs, including maintenance and updating of existing equipment and software Purchase of new equipment and software Strategic Planning Manage Strategic Planning process in coordination with Strategic Planning Committee Ensure Key Performance Indicators are tracked and progress is reported to the Board on a quarterly basis
QUALIFICATIONS
Required Bachelor's degree in Accounting, Finance, or related field CPA Preferred 5-10+ year of progressive accounting/finance experience Minimum of 3 years nonprofit accounting experience
Strong Knowledge of:
Nonprofit fund accounting Grant compliance GAAP Financial Reporting Internal Controls Experience managing audits and Form 990 preparation Proficiency with QuickBooks and Salesforce software Advanced Excel Skills Preferred Experience with Government grants and contracts Experience working with nonprofit Boards and Finance Committees
